Remote Liberty is seeking a Referrals Coordinator to manage the initial patient intake, verify demographics, claim numbers, and referral information, and ensure prescreening is completed before scheduling. You will upload documents into the EMR and coordinate with clinics to confirm no outstanding balances.

The role supports compliance, protects revenue, and maintains smooth patient flow in a fast-paced clinic, with English and Spanish language requirements.

Qualifications

Responsibilities

• New patient intake processing: answer calls, collect and verify demographics, claim numbers, and adjuster information; ensure referral documentation is received prior to scheduling; confirm prescreening is completed 24 hours before appointment; upload documents into EMR.
• Scheduling & eligibility: schedule new patient evaluations and follow-ups; reschedule no-show/cancelled patients; update EMR; confirm no outstanding balances.
• Documentation & compliance: ensure intake forms are completed (demographics, HIPAA acknowledgement, financial policy, consent to treat, assignment of benefits); maintain HIPAA compliance and patient confidentiality; follow Texas Medical Board and federal guidelines.

The Referrals Coordinator is responsible for managing the initial patient intake process. This role ensures all required documentation, referral information, insurance details, and prescreening requirements are completed accurately and timely prior to scheduling.

This position is critical to maintaining compliance, protecting revenue, and ensuring smooth patient flow within a fast-paced clinic.

Responsibilities

1. New Patient Intake Processing

• Answer incoming calls and respond to patient/clinic inquiries
• Collect and verify:
• Patient demographics
• Claim number
• Adjuster information (if applicable)
• Ensure referral documentation is received prior to scheduling
• Confirm prescreening is completed 24 hours before appointment (unless same-day exception applies)
• Upload all documents into EMR

2. Scheduling & Eligibility

• Schedule new patient evaluations
• Schedule follow ups
• Reschedule no-show/cancelled patients
• Update EMR
• Confirm no outstanding balances from prior visits

4. Documentation & Compliance

• Ensure all intake forms are completed:
• Demographics
• HIPAA acknowledgement
• Financial policy
• Consent to treat
• Assignment of benefits (if applicable)
• Maintain HIPAA compliance at all times
• Protect patient confidentiality
• Follow Texas Medical Board and federal guidelines
