Job summary

Planned Systems International is seeking a Referral Management Center Specialist to support a Military Treatment Facility. You will handle referrals, coordinate appointments, and maintain patient records with a focus on accuracy and service quality.

The role requires strong communication, medical terminology knowledge, and proficiency with EHRs, delivering professional care to patients and staff while ensuring confidentiality.

Qualifications

• Minimum one year of admin experience in a medical setting or similar.
• Demonstrated computer proficiency for EHR workflows.
• Reading, writing, speaking and understanding English fluently.
• Ability to obtain/maintain background check, credentials, and MTF access.
• Current Basic Life Support (BLS) certification and HIPAA training as required.

Responsibilities

• Answer incoming calls and assist patients and staff with referral questions.
• Review and process referrals for completeness and eligibility.
• Schedule and reschedule specialty appointments per MTF guidelines.
• Process referrals within established timeframes (routine, urgent, emergent).
• Coordinate referrals with outside providers or insurance when services are unavailable at the MTF.
• Maintain accurate referral documentation in MHS GENESIS and other systems.
• Educate patients on referral procedures, timelines, and appointments.
• Provide professional, courteous service while protecting patient confidentiality.

QuarterLine (QL), a Planned Systems International (PSI) company, is seeking a dedicated and compassionate Referral Management Center Specialist to support our healthcare team at a Military Treatment Facility (MTF). The ideal candidate will provide professional customer service while assisting patients and staff with referral and appointment coordination.

Essential Functions And Job Responsibilities

• Answer incoming calls and assist patients and staff with referral-related questions.
• Review and process referrals for completeness and eligibility.
• Schedule and reschedule specialty appointments according to MTF guidelines.
• Process routine, urgent, and emergent referrals within established timeframes .
• Coordinate referrals with outside providers or insurance when services are not available at the MTF.
• Maintain accurate referral documentation in MHS GENESIS and other required systems.
• Educate patients on referral procedures, appointments, and expected timelines.
• Provide professional and courteous customer service while maintaining patient confidentiality.

Minimum Requirements

• US Citizen.
• High school diploma or equivalent.
• Working knowledge of medical terminology.
• One (1) year of administrative experience in a medical office, clinic, or healthcare setting. Referral management, medical scheduling, patient administration, or insurance verification preferred.
• Demonstrated computer proficiency and keyboarding sufficient to sustain electronic health record workflow.
• Ability to read, write, speak, and understand English fluently.
• Ability to obtain and maintain a favorable background investigation, a Common Access Card, and MTF-specific badge and system access.
• Current Basic Life Support certification (AHA or Red Cross) where required by the supported MTF, plus HIPAA, Privacy Act, information assurance, and MTF-directed initial and annual training.
