The Workforce Staffing (WFS) team is looking for a non‑exempt Staffing Administrator. Staffing Administrators will help coordinate and execute activities to support the High‑Volume Hiring (HVH) and staffing efforts for the WFS team for a defined geography (node). These efforts include but are not limited to New Hire Events (NHE) and New Hire Orientations (NHO). Staffing Administrators will help develop and coordinate activities to support staffing efforts and provide support to the WFS organization to ensure successful completion of all administrative activities in the staffing process. This role is essential to creating a positive candidate and employee experience. Staffing Administrators will play an integral role in support of the Node’s staffing efforts, will thrive on pulling many pieces together to form a complete picture, and would enjoy working in a team environment with a focus on individual contribution. You will work with a team of Staffing Coordinators and Managers who thrive in an innovative and fast‑paced environment. Our WFS node teams work flexible schedules, shifts, and areas to include evenings and weekends.
Key job responsibilities
- Sets up, executes, and breaks down New Hiring Events (NHE) based on labor projections to meet labor order demands and fill on‑time.
- Supports candidate activity to ensure all electronic paperwork is completed on time.
- Provides follow‑up correspondence to candidates on recruiting status via phone and email.
- Tracks recruiting activities and reports candidate status.
- Attends community fairs, hiring events, and job fairs.
- Addresses basic questions regarding the recruiting process.
- Identifies opportunities for improving candidate experience and scheduling efficiency.
- Assists in the coordination of other recruiting activities as needed.
- Assists in onboarding of new hires and departures of employees.
- Performs administrative tasks as needed.
- Effectively executes NHE activities including hosting, candidate care specialists, candidate processing, badge photography, and drug test administration.
- Works a flexible schedule, including evenings and weekends, and may be required to work overtime.
- Maintains organization, attention to detail, and the ability to prioritize and work in an environment with competing demands.
- Travels as needed to conduct events within the designated node or geographical area.
Basic Qualifications
- High school or equivalent diploma.
Preferred Qualifications
- Experience working with Windows, Word, Excel, MyTime (Kronos), and PowerPoint.
- Experience in administrative tasks such as data entry and managing data‑driven report processes.
- Experience working with customers with a passion for delivering exceptional service; strong analytical skills, attention to detail, and effective communication abilities.
- Experience in recruitment, HR or equivalent.
- Experience troubleshooting, documenting findings, and resolving customer issues while operating efficiently under pressure.
- Experience with root‑cause analysis.
- Experience in oral and written communication.
- Associate’s degree or equivalent work experience required.
- 1–2 years of experience in a high‑volume administrative support role or equivalent (former Seasonal Staffing Ambassadors or current/former Learning Ambassadors, Training Ambassadors, and Seasonal Operations Administrators a plus).
- Recruiting assistant experience preferred; professional services experience desirable.
- Comfortable speaking in front of large groups; roll‑up‑your‑sleeves attitude with a sense of urgency and a friendly, diplomatic demeanor.
- Experience with Applicant Tracking Systems or other tracking and reporting systems like Salesforce.
- Excellent customer service skills with an emphasis on tact and confidentiality.
- Organizational skills with attention to detail, ability to prioritize and work in an environment with competing demands.
- Bi‑lingual skills are a plus.
