  • Coordinate employment eligibility verification (Form I‑9) in accordance with applicable requirements.
  • Partner with hiring managers, IT, and training teams to ensure new hires are prepared for their first day.
  • Communicate orientation schedules, first‑day instructions, and onboarding details to new employees.
  • Maintain accurate recruiting records and ensure filled requisitions are properly closed in iCIMS.
Recruiting Operations and Vendor Management
  • Manage job postings across the company careers website and external job boards, including LinkedIn and Indeed.
  • Monitor job board subscriptions, sponsored postings, advertising expenses, and renewal dates.
  • Track job advertising performance and assist with evaluating recruiting sources and spending.
  • Maintain staffing agency agreements, including placement fees, contract terms, and guarantee periods.
  • Coordinate new and renewed staffing agency agreements with internal stakeholders.
  • Verify agency candidate submissions and assist with resolving vendor‑related questions.

  • Verify invoice accuracy and allocate expenses to the appropriate property, market, or cost center.
  • Identify billing discrepancies and work with vendors to resolve issues.
  • Maintain accurate records of recruiting expenses and support monthly billing and budget tracking.
