Job description

Job Responsibilities
  1. Retrieve high volume of incoming calls, screen, and direct to appropriate personnel or department.
  2. Schedule, update, and accommodate patient preferences for appointments across multiple providers and departments.
  3. Maintain the privacy of protected health information (PHI) in accordance with HIPAA regulations.
  4. Maintain electronic medical and/or dental records.
  5. Support all clinic and clinical support areas, including Medical, MAP, Health Education, Dental, Behavioral Health, Psychiatry, Physical Therapy, Charity Care, Parenting, and Registration departments.
  6. Collect payments for services and products; prepare daily deposits.
  7. Review registration documents for accuracy and completeness.
  8. Provide excellent customer service to patients and visitors.
  9. Process requests for external medical records.
  10. Greet on-site visitors, determine the purpose of their visit, and direct them to the appropriate personnel.
  11. Order, receive, and maintain office supplies.
  12. Assist in resolving complaints, requests, and inquiries from patients.
  13. Route incoming and outgoing mail, emails, and faxes.
  14. Perform clerical duties such as filing, faxing, photocopying, and collating as needed.
  15. Respond promptly and appropriately to complaints, volatile patients, and clients; initiate de-escalation and resolution or escalate to appropriate staff.
Qualifications

Education/Experience

High school diploma or GED required. One year of receptionist experience in a healthcare setting preferred. Two years of college education in Business or Executive Secretarial Science preferred.

Language Ability

Ability to read and interpret instructions, short correspondence, and memos. Effectively present information to clients, patients, and team members. Fluent in English; Spanish bilingual required.

Reasoning Ability

Ability to understand and carry out instructions in written, oral, or scheduled form. Deal with problems involving a few concrete variables in standardized situations. Understand processes, define problems, interpret data, and draw valid conclusions. Demonstrate professionalism and organizational responsiveness, develop recommendations, and communicate clearly with all levels of staff and clients.

None required.

Computer Skills

Working knowledge of Internet, Outlook, and Word. Ability to learn electronic health record software.

Work Environment and Physical Demands

Work primarily in a medical or dental office environment with direct contact with patients and clients. Must be able to bend, stoop, twist, turn, walk, climb step stools, sit, and stand for periods. Ability to lift and maneuver up to 25 pounds.
