Job summary

Ability KC in Topeka, KS is seeking a front desk receptionist to manage phone lines, greet visitors, and support adult medical and pediatric departments. The role includes handling mail, packages, and office supplies while maintaining patient confidentiality and security procedures.

You will coordinate with department leaders, manage daily schedules, sign-in sheets, and assist with purchase orders and clerical tasks as needed.

Qualifications

  • 2–3 years of work experience in a health care office or business office.
  • Desire 2–3 years of communications proficiency in word processing, software tools (e.g., EMR systems, Teams, Word, Excel, Outlook).
  • Demonstrated initiative to grow within all aspects of responsibilities.

Responsibilities

  • Answer phone calls and transfer to various departments.

  • Maintain reception area and stocked supplies (mask, tissue, hand sanitizer).

Job description

This position is responsible for the primary front receptionist activities such as answering phone calls and transferring to various departments, checking emails, fax reports for adult medical department and pediatric department, page employees and visitors as needed. Direct guest to elevators, restrooms and other areas of the building as needed. Update lunch coverage as needed regarding task, tours etc. maintaining security and safety by following procedures, monitoring daily patient logs, issue visitor stickers and kids’ stickers, confirm receipts of daily schedule for new patients from admissions. Ensure new patient sign in sheet at desk, responsible for clean reception area, stocked supplies including mask, tissue, and hand sanitizer. Responsible for ensuring stamp machine is updated with postage. Contact staff when packages arrive. Distribute mail upon arrival. Responsible for keeping copy machine/fax with paper. The receptionist will have additional office assignments that may include, but not limited to, working with documents for purchase orders, payments and receipts and/or department-based clerical assignments. All duties require maintaining patient/client confidentiality as required by Ability KC policies and procedures. The receptionist works directly with department leaders, managers, supervisors and support staff to deliver services among all departments. Will perform other job duties as necessary or assigned. Regular attendance and punctuality are an essential requirement for this job. Complete training courses as required. Ability KC purposefully provides integrated services to support the mission in building brighter futures for individuals with disabilities and their families and caregivers. Reception staff regularly support responsibilities across programs and departments.

Education
  • High School Diploma or Equivalent, associate’s degree preferred from an accredited college or university.
Experience
  • Demonstrated 2-3 years of work-related experience in a health care office or business office. desired.
  • Desire 2-3 years of communications proficiency in word processing, software tools. i.e. EMR Systems, Teams Microsoft Word, Excel and Outlook tools.
  • Demonstrated initiative to grow within all aspects of responsibilities
Knowledge/Skills/Licensure/Certification
  • Good knowledge of correct English grammar and its application in a business setting.
  • Excellent spelling and punctuation skills.
  • Able to operate standard word processing package(s).
  • Must be very comfortable with public contact and working with persons with disabilities.
  • Knowledge of medical terminology and strong organizational skills desired.
