Overview

Receptionist Guest Relations position at WH Wheeling Hospital Inc., located in Wheeling, WV, United States. This opportunity is in the Administrative field. Bachelor Degree required for this role.

Responsibilities
  1. Greets and receives patients into the health care facility. Processes patient demographics and insurance information accurately and in a timely manner.
  2. Communicates and supports hospital departments using the scheduling system as appropriate.
  3. Obtains electronic signatures for consent to treat and patient financial obligations.
  4. Provides excellent customer service with strong written and verbal communication.
  5. Serves as the first impression of WVU Healthcare to the patient.
  6. Maintains patient confidentiality according to policy and HIPAA when interacting with patients, families, co-workers and the public.
  7. Provides information concerning insurance, payment of bills and hospital procedures; maintains knowledge of major payer provisions.
  8. Answers phone calls professionally and uses the phone system correctly.
  9. Schedules, reschedules, or cancels patients in accordance with hospital workflows.
  10. Checks for order completeness and validates orders against scheduled service.
  11. Supports hospital departments using the scheduling system.
  12. Follows hospital, state, and federal guidelines to ensure a safe environment and compliance with regulations.
  13. Complies with Notices of Privacy Practices and Patient Rights and Responsibilities; cooperates with corporate compliance.
  14. Interacts professionally with clients, families, visitors, physicians, departmental and hospital staff.
  15. Participates in processes to assess and improve services and regulatory compliance.
Minimum Qualifications

Core Duties and Responsibilities

The following describes the general nature of work performed by people assigned to this position. They are not intended to be an all-inclusive list of duties. Other duties may be assigned.

  1. Obtains demographic/billing/insurance information from patient/family/legal guardian and enters into registration/billing systems; scans insurance cards and photo identification.
  2. May complete managed care responsibilities for pre-certifications and authorizations.
  3. Prepares standard consent forms and notices; presents to patient/family/legal guardian for signatures; obtains electronic signature for consent to treat and patient financial obligations.
  4. Collects deposits, co-payments, deductibles, and patient liability payments; provides receipts and documents in the systems.
  5. Directs patients needing financial assistance to a Financial Counselor.
  6. Prepares armband for patient identification.
  7. Balances daily receipts and cash drawer as needed.
  8. Follows up on accounts as indicated by system flags.
  9. Initiates auto accident liability coverage and documents pertinent information in the systems.
  10. Initiates ESRD screening and documents coverage information.
  11. Initiates Veterans Administration eligibility screening and coordinates admission/treatment with VA.
  12. Initiates Black Lung SSI screening and documents in the systems.
  13. Initiates Workers Compensation screening and assists with related paperwork.
  14. Initiates MSPQ (Medicare secondary payer questionnaire) and documents required information.
  15. Maintains confidentiality per policy and HIPAA.
  16. Provides information about insurance and hospital procedures; keeps current knowledge of major payer provisions.
  17. Performs medical necessity checks and completes Advance Beneficiary Notice as needed.
  18. Answers calls professionally and uses the phone system correctly.
  19. Schedules, reschedules, or cancels appointments per workflow.
  20. Checks order completeness and validates against scheduled services.
  21. Supports hospital departments using scheduling systems.
  22. Ensures safety and compliance with hospital, governmental, and insurance regulations.
  23. Complies with privacy notices and patient rights and cooperates with corporate compliance.
  24. Communicates professionally with clients, families, visitors, physicians, departments, and staff.
  25. Participates in processes to assess and improve services and regulatory compliance.
Working Environment and Physical Requirements

Physical requirements: Frequent walking, standing, stooping, kneeling, reaching, pushing, pulling, lifting, grasping, and feeling; normal visual acuity; ability to lift up to 50 pounds occasionally and up to 25 pounds frequently; manual dexterity for keyboards and office equipment; ability to move throughout the work area; ability to sit or stand for extended periods; reading and comprehension ability.

Working environment: High volume, fast-paced environment; exposure to communicable disease; interactions with patients and staff daily; ability to handle frequent interruptions and work within a confined office space.

  • Knowledge of time-of-service collection procedures preferred.
