Job summary

HDR is seeking a Receptionist / Administrative Assistant to be the primary receptionist for the St. Louis Park, MN office and provide administrative support for the Minnesota/Wisconsin area.

This full-time, in-office role creates a professional, welcoming experience for employees, clients, and visitors while supporting office operations, meeting coordination, and leadership/business group activities.

Qualifications

  • Associate’s degree preferred.
  • 3+ years of experience in a professional environment.
  • Available during core business hours, Monday through Friday.
  • Proficiency with MS Office including Word and Outlook.
  • Strong organizational and attention to detail.
  • Excellent verbal and written communication skills.

Responsibilities

  • Answer and direct phone calls, deliver messages, greet employees and visitors, and distribute incoming mail.
  • Monitor, respond to and file messages for the MN/WI Admin Team mailbox.
  • Maintain conference rooms and reception area, including meeting room prep and setup.
  • Coordinate large in-house or client meetings and prepare related materials.
  • Process mail, courier services, and shipping.
  • Coordinate with property management and office vendors as needed.
  • Provide support to Area Manager, HR Manager, and leadership with admin tasks and reports.
  • Create communications via email, SharePoint, presentations, and documents.

We are seeking a Receptionist / Administrative Assistant to serve as the primary receptionist for HDR's St. Louis Park, MN office and provide administrative support for the Minnesota/Wisconsin Area. This full‑time, in‑office position is responsible for creating a professional and welcoming experience for employees, clients, and visitors while supporting office operations, meeting coordination, employee communications, and administrative activities for leadership and business groups. The ideal candidate is organized, proactive, detail‑oriented, and able to successfully manage multiple priorities in a dynamic office environment while delivering exceptional customer service and support.

Responsibilities

In the role of Receptionist / Administrative Assistant, we’ll count on you to:

  • Answer and direct phone calls, deliver messages, greet employees and visitors, and distribute incoming mail
  • Monitor, respond to and file messages sent to the MN/WI Admin Team mailbox
  • Maintain conference rooms and reception area, including meeting room preparations and technical set up
  • Assist with coordination and organization of large in‑house or client meetings
  • Process incoming/outgoing mail, courier, USPS, UPS, FedEx, etc.
  • Process business card orders for staff
  • Coordinate with property management as needed (i.e., repair requests, lost & found, janitorial concerns, conference room reservations, etc.)
  • Coordinate with office vendors as needed (i.e., vending, coffee machines, plants, etc.)
  • Assist Area Manager, Area Administrative Manager, and Human Resources Manager with executive administrative support, preparation of operating plans, employee onboarding support, and other reports as requested
  • Coordinate and develop departmental administrative policies and procedures
  • Assist employees with the submittal and approval of timecards
  • Produce communication through email, SharePoint, presentations, and other documents
  • Complete word processing and formatting for letters, memos, reports, labels, and other documents as requested
  • Provide administrative support to all business groups as needed, including administrative project work with printing, mailing, and data entry
  • Coordinate employee engagement events
  • Assist and coordinate with other administrative staff to complete required support activities
  • Provide guidance to employees as necessaryPerform other duties as needed
Preferred Qualifications
  • Associate’s degree preferred
  • 3 or more years of experience in a professional environment
  • Must be available during core business hours, Monday through Friday
  • Preference given to local candidates
  • Strong organizational skills
  • Strong attention to detail
  • Ability to take direction from multiple levels of professional staff
Required Qualifications
  • High School diploma or equivalent
  • Self‑motivated, detail‑oriented professional, ability to multitask a must
  • Proficiency with MS Office including Word and Outlook
  • Ability to handle confidential information
  • Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast‑paced environment
  • Excellent verbal and written communication skills including grammar, punctuation, proofreading, spelling and telephone skills
