OneOncology is seeking a Receptionist for our Nashville corporate office. You will be the first point of contact, greeting guests, managing the front desk, and supporting day-to-day administrative tasks with a professional, welcoming approach.
The role runs Monday–Thursday, 8:00 AM–3:30 PM, with potential to adjust hours and Fridays as needed. You will collaborate with IT, HR, and managers on desk assignments, onboarding, and events.

The Receptionist will serve as the first point of contact for OneOncology's Nashville corporate office, delivering a professional, welcoming experience for employees, guests, and vendors while providing day-to-day front-desk and administrative support. This role is scheduled Monday through Thursday, 8:00 AM - 3:30 PM, with flexibility to adjust start/end times and work Fridays as business needs require.
Greet and welcome all guests, employees, and vendors in a warm, professional manner, ensuring a positive first impression of OneOncology.
Manage the front desk, including answering and directing office/general inquiries.
Oversee visitor management, including badge issuance, guest parking, and notifying employees of guest arrivals.
Administer the employee parking program, including issuing and tracking parking access cards, deactivating cards for departing employees, replacing lost cards, and maintaining an accurate parking roster.
Receive, sort, and distribute incoming mail and packages; coordinate outgoing shipping and courier services.
Maintain a clean, organized, and presentable reception area, lobby, and shared common spaces (kitchen, conference rooms, copy areas).
Monitor and maintain inventory of office supplies, kitchen/breakroom stock, tech accessories, and branded swag/collateral; place orders as needed to ensure optimal stock levels.
Support conference room and meeting logistics, including reservations, room setup, catering coordination, and clean-up.
Assist with planning and execution of company events, meetings, and employee engagement activities (invites, space reservations, food orders, setup).
Partner with IT, HR, EAs, and managers to coordinate desk assignments, workspace setup, and equipment moves (monitors, docking stations, keyboards, etc.) for employees who regularly come into the office.
Support new hire onboarding, including desk setup, welcome materials, badge/parking access, and first-day orientation to the office.
Provide general administrative support to HR leadership and other departments as needed.
Additional responsibilities as assigned to help drive our mission of improving the lives of everyone living with cancer.
Minimum of 2 years of receptionist, front-desk, or administrative experience required, preferably in a corporate office environment.
High School diploma required; college preferred.
Intermediate to Expert level skill in the MS Office suite (Word, Excel, PowerPoint, and Outlook) required.
Delivers a warm, professional, and welcoming experience to all employees, guests, and vendors, ensuring a positive first impression of the organization.
Demonstrates polished verbal and written communication, appropriate business etiquette, and discretion when handling sensitive information and executive interactions.
Effectively manages competing priorities and maintains accurate records (parking, visitor logs, inventory, mail) while keeping the front desk and shared spaces orderly.
Anticipates office and team needs, uses sound judgment to resolve day-to-day issues independently, and escalates appropriately when needed.
Partners effectively with IT, HR, Facilities, and other departments while adjusting quickly to shifting priorities and last-minute requests with composure.
