AppleOne Employment Services is seeking a Receptionist in Irvine, California, to deliver exceptional customer service and manage front desk operations. The ideal candidate will handle calls and visitors, support facilities duties, and ensure a professional reception area. Experience in administrative roles and strong communication skills are essential.
The Receptionist will answer all calls and provide an exceptional customer service experience for all incoming and outgoing visitors.
Assist with light facilities duties as needed, including but not limited to helping customers open troubleshooting tickets, ordering supplies, and stocking kitchens and service areas.
May be asked to help set up and take down conference rooms for meetings and events.
Handle mail services, including sorting, distributing mail, and receiving/tracking packages. Will be cross-trained to assist with mail services as needed.
Provide 5-star customer service to all employees and visitors across all communication channels.
Answer incoming telephone calls, route callers appropriately, and handle calls professionally, efficiently, and courteously.
Ensure all visitors complete, sign, and understand their responsibilities under the company's NDA. Log visitors into the registration system and activate access for temporary badges.
Issue facility access cards to employees and manage global calls, including handling confidential calls with discretion.
Prioritize calls, escalate issues when necessary, and maintain updated phone and speed dial lists.
Train backup staff and guide them on policies and procedures.
Notify employees of inbound deliveries or coordinate deliveries to the Mail Room as appropriate.
Provide light administrative support, such as scheduling meetings, ordering catering, and assisting with various tasks.
Seek additional work proactively during downtime and follow up on loaned access cards to ensure return.
Build professional relationships with customers and team members.
Maintain a neat and professional reception area, including visitor materials.
Interact professionally and maintain composure with callers and visitors, especially when handling sensitive inquiries.
Follow all policies and procedures to ensure excellent service and support.
