Job summary

Group Health Cooperative of South Central Wisconsin is seeking a part-time Reception Unit Clerk for a 36-hour workweek. The regular schedule is Monday–Wednesday, Friday 7:00 am–4:30 pm.

The role provides back-up office support to the care team and assists nursing and practitioner staff, while coordinating provider schedules with the reception team. Responsibilities include signaling schedule changes to reception staff, scheduling specialty appointments, and completing duties per the reception

Qualifications

  • High school graduate or equivalent required.
  • Minimum one year of customer service experience; medical reception experience preferred.
  • Ability to learn HIPAA requirements and maintain patient confidentiality.
  • Strong organizational and communication skills required.

Responsibilities

  • Provide back-up office support to the care team and assist nursing/practitioner staff.
  • Communicate provider schedule changes to reception staff.
  • Schedule specialty appointments and manage related duties.
  • Follow directions from the Reception Team Leader and Clinic Manager.

Part-time Reception Unit Clerk | 36 hours per week

Regular Schedule: Monday - Wednesday, Friday 7:00 am - 4:30 pm

The Reception Unit Clerk will be responsible for providing back‑up office support to the care team staff, providing support to the nursing and practitioner staff, communicating provider schedule changes to reception staff, scheduling specialty appointments, and other duties as found in the reception team staff job description. The Reception Unit Clerk will work under the supervision of the Reception Team Leader and the direction of the Clinic Manager.

Job Specific Minimum Qualifications
  1. High school graduate or equivalent required.
  2. Minimum one (1) year work experience in a setting that requires customer service skills. Work experience in a Medical Reception setting preferred. Relevant training may be substituted for work experience. Previous experience using the telephone in a service capacity preferred. Experience with medical terminology preferred.
  3. Ability to earn relevant service stars such as Primary Care in order to pass initial evaluation period.
  4. Excellent organizational skills required.
  5. Excellent verbal and written communication skills required.
  6. Excellent customer service skills required. Ability to be culturally sensitive and work with a diverse patient population.
  7. Ability to work harmoniously and cooperatively with all personnel and the public required.
  8. Ability to act in a professional manner when dealing with practitioner staff, personnel of other departments, fellow employees and the general public required.
  9. Ability to maintain patient confidentiality required. Knowledge of or ability to learn HIPAA requirements.
  10. Knowledge of and ability to use various computer programs including database, word processing, and email.
  11. Ability to use and/or learn online systems such as electronic medical record and appointment scheduling. Knowledge of Epic Systems is desirable but not required.
  12. Ability to handle and prioritize multiple tasks appropriately in rapid succession required.
  13. Ability to be flexible in daily assignments.
  14. Ability to take and relay messages accurately and in a timely manner, including the ability to spell correctly required.
  15. Ability to use a keyboard for much of the shift required.
  16. Ability to sit or stand for up to 3 hours at a time and frequently stand up and down from desk chair required.
  17. Ability to frequently bend and reach from both a standing and sitting position required.
  18. Ability to speak and listen in person and on the telephone.
