Job summary

Oxford University Hospitals NHS Foundation Trust is seeking a Reception Supervisor for the Trauma Outpatients Unit based at the John Radcliffe site. This role requires excellent organisational and communication skills, with the ability to prioritise and manage a heavy workload in a pressurised and busy environment.

You will liaise with staff at all levels, use Trust IT systems (including EPR) to register patients and book appointments, and contribute to service development.

Job description

Provide a robust administration function that underpins the delivery of a high-quality service and maintain effective working relationships with clinical, nursing and administrative staff. Answer all communication including telephone and email queries in a timely manner and action as appropriate Always maintain patient confidentiality.

• Supervise the reception team, ensuring that the rota for the cover of seven days per week is managed and any issues or problems are highlighted to the Trauma ASM.
• Ensure that outpatient clinical correspondence to be of a high standard within specified timescales.
• Be able to use your judgement and initiative to prioritise requests within defined guidelines.
• Ability to deal with sensitive information with respect and in a confidential manner.
• Confidently liaise with other departments, GP's, external Trusts and patients to ensure smoothness and timely transition for the patient on their journey through the hospital.
• Undertake specific duties in accordance with Trust policies and procedures to facilitate the patient pathway.
• Adapt a flexible attitude to meet the needs of the service, taking into consideration each department's unique requirements such as specialist services.
• Provide cover and work with colleagues and as a Team during times of annual leave and sickness.
• Promote an open and friendly working environment.
• Adhere to the Trust Values, Policies and Procedures relevant to your post.
• Update Rotas in a timely manner and source cover where needed.
• To contribute to on-going and future service development projects and supporting continuous improvement of the service we provide.

• Any other duties which may be needed to fulfil the objectives of the post, which are appropriate to the grade.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

This post is crucial to the ongoing development of the services and would suit a candidate who has excellent organisational and communication skills. You will be expected to liaise with staff and colleagues at all levels. You should have the ability to prioritise and manage your own workload to tight deadlines. You will need to demonstrate initiative and flexibility in your approach and be able to work in a pressurised and busy environment. Knowledge of the Trust's Electronic Patient Record System (EPR) and knowledge of elective access standards would be an advantage but not essential as training will be given.
