Description

POSITION TITLE: Receiving Team Administrator

POSITIONREPORTS TO: Receiving Manager
DEPARTMENT: Production and Logistics

POSITION SUMMARY:

The Receiving Team Administrator oversees the efficient and accurate receipt of goods and materials, ensuring that all incoming shipments are processed promptly and accurately. The Receiving Team Administrator plays a crucial role in maintaining an organized and streamlined receiving warehouse operation.

KEY RESPONSIBILITIES:

  1. Receives incoming shipments of goods and materials, verifying accuracy against purchase orders and shipping documentation (packing list).
  2. Inspect and assess the quality of received items, documenting any discrepancies or damages and reporting to the carriers and supervisor.
  3. Verifies and records all items unloaded from shipments.
  4. Carefully and accurately maintains receiving records for requested categories including goods returned, dunnage, and returnable pallets. RMA – Returned Material Authorizations.
  5. Maintains database of receipt data to ensure that customer returns and vendor deliveries are updated and that appropriate receipt documents are provided to accounting or other associated departments as required.
  6. Notifies supervisor of major discrepancies, backorders, or substitutions.
  7. Completes information on damage claims for in-transit/delivery damage.
  8. Coordinates with various departments to ensure timely delivery of materials to the appropriate locations within the organization.
  9. Communicates effectively with vendors, carriers, and internal stakeholders to facilitate smooth receipt processes.
  10. Transports materials throughout the warehouse with a hand truck or other vehicle as needed.
  11. Unloads trucks using a forklift and other certified equipment.
  12. Maintains a clean and orderly receiving area, ensuring that it is free from clutter and potential safety hazards.
  13. Complies with all safety guidelines and protocols during unloading and handling of materials to ensure a safe working environment for all team members.
  14. Performs other administrative duties as assigned.

SUPERVISORY RESPONSIBILITY:

This position has no direct reports.

Qualifications

POSITION REQUIREMENTS:

  • Basic understanding of MS Office Suite, i.e. Word, Excel, Outlook, Teams, etc.
  • Excellent organizational skills and attention to detail with ability to accurately verify and record information.
  • Good communication skills and the ability to work well within a team environment.
  • Desire to learn and apply skills.
  • Safety-conscious with knowledge of proper handling and storage procedures for various materials.
  • Strong understanding of applicable Occupational Safety and Health Administration requirements and other related safety policies and best practices.

REQUIRED EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent required.
  • 1 year experience in a warehouse or receiving role.

OTHER JOB REQUIREMENTS:

  • Must be able to work in hot and cold climates
  • Varying work schedules based on business need are sometimes required
  • Frequently required to sit, stand, walk, talk, and hear
  • Must have a valid driver's license
  • Ability to operate a computer keyboard efficiently
  • Ability to read a variety of materials
  • Ability to sit and stand for extended periods of time
  • Ability to carry and lift materials up to 35 lbs.
