Summary:

The Receiving, Inventory Control & Purchasing Specialist is responsible for the accurate receipt, storage, tracking, and procurement of materials, supplies, and inventory required to support company operations. This position ensures inventory accuracy, maintains purchasing records, coordinates with vendors, and supports production through effective inventory management and material availability.

Essential Duties and Responsibilities:

The essential duties and responsibilities include the following. Other duties may be assigned as needed.

Receiving Duties

• Receive, inspect, and verify incoming shipments against purchase orders, packing slips, and shipping documentation.
• Distribute incoming packages, materials, and supplies to the appropriate departments in a timely manner.
• Verify quantities and condition of all rejected materials and vendor returns.
• Inspect incoming goods for damage and report discrepancies, shortages, or quality concerns to the appropriate department and supplier.
• Ensure accurate and timely receipt transactions are entered into the inventory management system.
• Maintain organized receiving records and documentation for audit and tracking purposes.

Inventory Control Duties

• Maintain accurate inventory records and update spreadsheets and inventory systems in real time to reflect material movement.
• Conduct regular cycle counts and physical inventory audits to ensure inventory accuracy.
• Reconcile inventory variances and communicate findings to management.
• Organize and maintain inventory storage areas to ensure efficiency, accessibility, and compliance with safety standards.
• Establish and maintain an organized warehouse layout with clearly identified and labeled storage locations to support efficient material flow and inventory control. Oversee the storage, issuance, transfer, and movement of materials throughout the facility, ensuring accurate documentation, traceability, and inventory accountability. Ensure materials are handled, stored, and transported safely in accordance with company policies, health and safety requirements, and applicable regulatory standards.
• Implement and maintain best practices for material handling, storage optimization, inventory accuracy, and loss prevention.
• Assist with inventory reporting, material tracking, and continuous improvement initiatives.
• Maintain inventory accuracy goals of 98% or greater.

Purchasing Duties

• Create and process purchase orders for raw materials, supplies, equipment, and operational needs.
• Monitor open purchase orders and follow up with vendors to ensure timely delivery.
• Communicate with vendors regarding pricing, order status, delivery schedules, discrepancies, and returns.
• Maintain vendor records, purchasing documentation, and pricing information.
• Assist in sourcing materials and obtaining competitive pricing from suppliers.
• Support cost-control initiatives through effective purchasing and inventory management practices.

General Responsibilities

• Follow all company safety policies and maintain a clean, organized work environment.
• Operate forklifts, pallet jacks, and other warehouse equipment as required and properly certified.
• Assist in developing, documenting, and improving receiving, inventory control, and purchasing procedures.
• Collaborate with production, accounting, quality, and operations teams to ensure material availability and inventory accuracy.
• Complete special projects and perform additional duties as assigned by management.

Preferred Qualification:

• Strong quality control background in the aluminum manufacturing industry.

Education and/or Experience: High School diploma preferred (Required).

Language/Communication Skills:

• English speaking is required, bilingual is ideal.
• Must have the ability to effectively communicate and work with team members in a bilingual environment (with the use of an interpreter as needed).
• Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals.

Computer Skills: Basic computer skill
