Qualifications

  • High school diploma or GED required.
  • Experience in shipping/receiving or warehouse/manufacturing preferred.
  • ISO-compliant documentation experience is a plus.
  • Strong attention to detail and data entry accuracy.
  • Proficiency with MS Office and ERP/inventory systems.

Responsibilities

  • Maintain shipping/receiving related documents, hard copy or digital, organized and ISO compliant.
  • Create and update system information for shipping/receiving accurately and timely.
  • Order shipping/receiving supplies to prevent shortages.
  • Prepare and distribute documents (picking tickets, bills of lading, packing lists, route sheets, field returns) and check receipts for accuracy.
  • Receive purchase orders and part returns in the system, document issues.
  • Operate standard office equipment (PC, fax, copier, scanner) and related systems.
  • Collaborate with Production, Shipping/Receiving, Quality, and other departments.

Job description

The Receiving Coordinator is responsible for accurately processing, documenting, and maintaining records related to the shipping and receiving function, ensuring information is organized, accurate, and compliant with departmental and ISO standards. This role supports inventory accuracy by receiving purchase orders and part returns into the system, preparing and distributing shipping/receiving documentation, and ordering department supplies as needed. The Receiving Coordinator reports to the Inventory Control Supervisor and works 1st shift.

Essential Duties and Responsibilities
  • Maintains shipping/receiving related documents, either hard copy or computer based, that are well organized, accurate, easily accessible, and in accordance with set departmental standards as well as being ISO compliant.
  • Creates and updates system information related to the shipping/receiving department accurately and in a timely manner.
  • Orders shipping/receiving related supplies as required, preventing the possibility of shortages.
  • Prepares, processes, and distributes documents such as picking tickets, bills of lading, packing lists, route sheets, field returns, etc. Checks receipts for accuracy.
  • Receives purchase orders and part returns in the system, documenting issues related to those receipts.
  • Operates standard office equipment including personal computer, fax, copier, scanner, and other carriers' PC-based systems.
  • Other duties as assigned.
Knowledge, Skills, and Abilities
  • Strong attention to detail and accuracy in documentation and data entry.
  • Working knowledge of Microsoft Office (Word, Excel, Outlook) and standard ERP/inventory systems.
  • Good organizational and time-management skills; ability to prioritize in a fast-paced warehouse/production environment.
  • Clear written and verbal communication skills.
  • Ability to work independently as well as collaboratively with Production, Shipping/Receiving, Quality, and other departments.
  • Basic math and record-keeping skills.
Education and Experience
  • High school diploma or equivalent (GED) required.
  • Prior experience in shipping/receiving, inventory control, or a warehouse/manufacturing environment preferred.
  • Experience with ISO-compliant documentation practices a plus.
Physical Demands and Work Environment
  • Regularly required to sit, stand, walk, bend, and reach.
  • Occasionally required to lift and/or move materials up to 25-50 lbs.
  • Specific vision abilities required include close vision and ability to adjust focus for detailed document review.
  • Work is performed in a warehouse/ plant environment with exposure to typical manufacturing conditions.
