Overview

The Operations Manager plays a critical leadership role in ensuring KeyOpp’s day-to-day operations run efficiently and consistently across all departments — including Tenancy & Lease Enforcement, Leasing & Marketing, Maintenance Coordination, and Transaction Support for both Property Management and Real Estate Sales. This individual will act as the right hand to the Director of Operations, serving as a team coach, escalation lead, and process optimizer. The ideal candidate will possess a strong understanding of U.S. property management workflows, exceptional people management skills, and the ability to execute projects that uphold KeyOpp’s service standards and six core values.

Responsibilities
  • Operational Leadership
    • Oversee and support daily operational activities across the Tenancy, Leasing, Maintenance, and Transaction Support teams.
    • Partner with the Director of Operations to implement, document, and refine SOPs and departmental workflows.
    • Ensure accountability and follow-through on task management platforms (e.g., Monday, Buildium/Rentvine, Slack).
    • Provide daily guidance, coaching, and escalation support to team members in the Philippines and the U.S.
  • Client Experience & Relationship Management
    • Act as an escalation point for Resident, Vendor, and Owner issues requiring management-level judgment or communication.
    • Review and approve communications or resolutions before client delivery when sensitive or complex.
    • Collaborate with Leasing, Tenancy, and Maintenance teams to deliver a seamless customer experience.
    • Champion KeyOpp’s service promise and ensure interactions reflect empathy, transparency, and professionalism.
  • Process Optimization & Reporting
    • Audit and monitor adherence to company SOPs, checklists, and compliance standards.
    • Identify process inefficiencies and collaborate with the Director of Operations to streamline workflows and reduce errors.
    • Track KPIs and prepare weekly operational performance reports for leadership review.
    • Implement data validation protocols to maintain accurate reporting across departments.
  • Training, Coaching & Culture
    • Mentor junior team members, providing constructive feedback, 1:1 coaching, and skill-building sessions.
    • Reinforce KeyOpp’s core values and EOS principles to build alignment and team accountability.
    • Coordinate onboarding and ongoing training programs in partnership with department leads.
  • Cross-Functional Collaboration
    • Support Real Estate operations, including transaction coordination, buyer/seller support tasks, and post-closing handoffs.
    • Liaise between the U.S.-based leadership team and remote operations staff to ensure communication alignment.
    • Participate in EOS L10 meetings and assist in maintaining departmental scorecards and issue tracking.
Qualifications
  • Required
    • Minimum 5 years of Property Management and/or Real Estate Operations experience (U.S. or international equivalent).
    • Proven leadership experience managing multi-functional or remote teams.
    • Deep understanding of tenancy management, leasing coordination, maintenance workflows, and transaction support.
    • Excellent verbal and written English communication skills.
    • Strong organizational and project management abilities with exceptional attention to detail.
    • Tech-savvy, with proficiency in tools such as Rentvine, Aptly, Zoom, Monday.com, Slack, Google Workspace, and Microsoft Office.
    • Ability to work during Pacific Standard Time business hours.
  • Preferred
    • Bachelor’s degree in Business Administration, Real Estate Management, or a related field.
    • Familiarity with California rental laws, Fair Housing, and U.S. property management compliance practices.
    • Previous experience in a U.S.-based property management or real estate support environment.
    • Experience implementing or managing SOP documentation, KPIs, and performance dashboards.
