We are a luxury real estate brokerage seeking an individual for a full-time, onsite position, Monday through Friday, 9 AM to 5:30 PM in San Rafael. The ideal candidate will be responsible for managing day-to-day office operations while supporting agents with marketing coordination for property listings.

The role requires a professional, dependable, and detail-oriented individual who is tech-savvy and capable of managing multiple priorities in a fast-paced environment. Strong computer skills are required for templated marketing tasks using proprietary and third-party platforms; training on specific platforms will be provided.

Marketing and Listing Coordination

  • Work with agents to assist in uploading property listing information to company and third-party platforms.
  • Upload and manage photos, perform quality control, and review and proof property descriptions and listing details.
  • Use templated platforms to create email campaigns, brochures, flyers, and social media assets.
  • Assist agents with platform usage, answering questions, and offering basic training.
  • Enter listing and open house data into internal systems; research prior sales for reference.
  • Collaborate with the marketing department and stay informed of new tools, trainings, and programs.
  • Enter listing or closing data into the accounting or file management systems.
  • Navigate various platforms efficiently and troubleshoot basic issues.

Front Desk and Office Administration

  • Open and close the office daily, ensuring it is secure and operational.
  • Manage incoming phone calls and maintain office supplies, including copier paper and coffee essentials.
  • Ensure the office environment is clean, welcoming, and professionally maintained (janitorial services provided).
  • Onboard new agents by showing them around and providing essential office information.
  • Provide general administrative support and complete additional tasks as assigned.
  • Attend scheduled team meetings and contribute to office continuity and communication.
  • Maintain vendor relationships and support invoice processing or AP-related documentation as needed.
  • Assist with light bookkeeping tasks, such as expense tracking or coordinating with accounting.

Qualifications

  • Proven office management and administrative experience
  • Strong organizational and communication skills
  • Ability to manage front desk operations
  • Real estate experience is a plus

Compensation range is $60,000+, depending on experience
