Job Summary
The Assistant General Manager plays a crucial role in the efficient and effective delivery of management services and reporting for our multi-family and commercial portfolio. The following duties and responsibilities are integral to this position:
Essential Duties And Responsibilities
- Responsible for maintaining tenant relations and ensuring tenant satisfaction
- Building positive relationships with prospective and current tenants
- Promptly returns resident calls and responds to emails (within 24 hours). Proactively contacts residents to identify needs and follows up on resident concerns to ensure exceptional customer satisfaction and loyalty. Escalates issues to the General Manager or Director of Facilities as needed.
- Maintain organized office space and assist in ordering required supplies, as per GM & RM
- Assist in creating and maintaining work orders for the property and oversee the timely and successful completion of work orders/maintenance requests
- Liaison between residents, maintenance staff, vendors, construction, and management
- Obtain current vendor or tenant Certificates of Insurance (COI) with correct Additional Insured before a repair or services are performed
- Assist GM & RM in coordinating unit inspections and court ordered repairs
- Assist with resident inquiries pertaining to rent payments and charges
- Contact and schedule all stipulations and requests from the legal department
- Create memos for all general maintenance repairs throughout the buildings/access notices for residents who do not provide access when needed for emergencies. Blast notices through building management software
- Provide administrative support to General Manager and Resident Manager
- Assist & support all team members in required trainings and scheduling
- Assist General Manager and Resident Manager in walking vacant apartments and ensure all apartments are prepared for move-in
- Coordinate move ins, move outs and tenant files with main office
- Manage amenity reservations to ensure seamless booking and appropriate usage by residents.
- Process move-outs: including scheduling move-out inspection, complete move-out paperwork and upload all required documents to Rent Manager (Management Software) and then notify GM
- Renter’s Insurance Management: Manages and reports resident insurance policy information to ensure compliance with the lease.
- Maintain monthly extermination reports
- Follow up and respond to resident survey feedback to determine the best course of action to resolve the issue. Escalate as necessary and make recommendations on process improvements to enhance the overall resident experience on the property. Partner with PM/VP to manage online reputation.
- All other tasks & special projects as required by management
- Assist in coordinating resident events when requested
- Send welcome gifts to new tenants
- Handle parking issues such as towing, booting, and violations; create and update tenant reserved parking spreadsheet (where applicable)
- Handle minor technical IT issues/phones issues with our preferred vendors when necessary
- Coordinate team meetings or employee appreciation lunches
- Maintain lobby directories and elevator display screens with updated information
- Create and regularly update Tenant Handbooks, Storm Preparedness Plan and Building Emergency Procedures
- Assist in management of day-to-day coverage, including after-hours, holidays, and vacations of field staff
General Duties:
- Gain ongoing knowledge of software platforms utilized by the company, such as Rent Manager, AVID, ManageGo, SLACK and WRIKE
- Organize all files and save in BOX and not on computer drives
- Write standard works in Notions to update operational processes and information
- Understand and comply with company policies and procedures to maintain consistency in service delivery, reporting and communication
- Advise Supervisor or upper management on any pertinent or potential legal issues
- Promptly attend and participate in all scheduled meetings related to the position or assigned properties
- Meet deadlines and tasks as assigned, setting own project deadlines responsibly
- Perform other duties as assigned
