Job summary

Smith Industries in Wisconsin is seeking an experienced Quality Assurance Assistant to join our fast-paced team. This high-volume role requires sharp attention to detail, strong organization, and the ability to juggle multiple priorities while maintaining quality standards.

You will input and manage QA data, prepare QMS documents, coordinate submissions with clients and inspectors, and provide occasional customer service support. A HS diploma is required; an associate degree is preferred.

Qualifications

  • 1–2 years of QA, administrative, or compliance experience.
  • Proficiency in MS Word and Excel; familiarity with AI tech is a plus.
  • Strong written and verbal communication and ability to manage multiple projects.
  • Willingness to work a flexible schedule and be a reliable team player.
  • Knowledge of ASME/API codes is a plus.

Responsibilities

  • Input and manage QA data and maintain filing systems.
  • Register code vessels with a national board via third-party inspection.
  • Create and maintain QMS docs in Word/Excel/PDF for each product.
  • Learn internal software (e.g., SharePoint) and support leadership to meet deadlines.
  • Coordinate document submittals and track approval with clients/inspectors.
  • Provide backup support for customer service when needed.
  • Follow safety policies and PPE requirements.

Are you a highly organized, detail-driven professional who thrives in a fast-paced environment? Smith Industries is looking for an experienced Quality Assurance Assistant to join our team. This is a high-volume, fast-moving role, we need someone who hits the ground running and brings a strong work ethic, sharp attention to detail, and the ability to juggle multiple priorities without missing a beat.

Responsibilities
  • Input and manage data for Quality Assurance and maintain accurate electronic and manual filing systems
  • Register code vessels with The National Board through our AIW/3rd party inspection company
  • Create and maintain Microsoft Word, Excel, and PDF QMS documentation for each product we manufacture
  • Learn and navigate internal software systems (e.g., SharePoint or other electronic systems) Support supervisors and managers in meeting deadlines with accuracy and timeliness Maintain consistent communication with leadership, proactively reporting issues or changes
  • Manage and organize all project quality documents, including inspection records, test records, material certifications, and as-built packages to meet contract and client requirements for delivery.
  • Coordinate document submittals and track approval status with clients and third-party inspectors
  • Provide occasional backup support for customer service and receptionist functions, as needed, without interfering with core QA duties
  • Follow all safety policies and procedures, including PPE requirements, incident reporting, and stop-work authority when safety protocols cannot be met
Experience
  • 1–2 years of experience in a Quality Assurance, administrative, or compliance role preferred
  • Proficiency in Microsoft word, Excel is required. Familiarity with AI technology usage is a plus.
  • Strong written, verbal, and interpersonal communication skills
  • Ability to manage multiple projects simultaneously under tight deadlines
  • Highly organized with strong time management skills and a professional attitude
  • Basic knowledge of ASME and API codes is a plus
  • Willingness to work a flexible schedule
  • A true team player with a high level of dedication, willingness to learn, reliability, and honesty
  • High school diploma or GED required; Associate's degree or technical certification preferred
