Quality Assurance Specialist Job Description

The Quality Assurance Specialist is responsible for ensuring accurate completion of client projects throughout the production process. This individual must demonstrate attention to detail and the ability to identify variances in printed and inserted output, according to client specifications. The role involves managing paperwork, quality control, and reporting related to daily programs. Knowledge of Direct Mail fundamentals, ISO 9001 documentation, security compliance, and postal regulations is required. The position may also involve handling PHI information and requires adherence to HIPAA regulations. The candidate must be able to multi-task and meet deadlines.

Position Responsibilities
  1. Review and validate the quality of job specifications, digitally printed output, and insertions to ensure accuracy and timeliness.
  2. Set up initial job jackets for 150-250 jobs daily.
  3. Perform ongoing quality checks during the production cycle.
  4. Ensure all paperwork is completed, logged, and accounted for according to requirements.
  5. Oversee and review insert tracking system effectiveness and accuracy.
  6. Perform postal functions, mark jobs complete, and produce daily reports.
  7. Identify and correct inaccuracies or ambiguities in client specifications and escalate issues as needed.
Required Skills
  • Ability to work in a fast-paced environment handling multiple projects with a high sense of urgency.
  • Understanding of customer needs with the ability to recommend solutions.
  • Team player with a mindset for process improvement.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).

Education and Experience

High school diploma required, with 6 months to 1 year of experience in a quality-focused production environment. Direct Mail experience is essential. Supervisory/Leadership skills, ISO 9001:2008, Lean Manufacturing, Six Sigma experience, and knowledge of postal regulations are a plus.
