This person primarily functions to assist departments by keeping records, maintaining inventory, reviewing purchase orders and monitoring shipments and deliveries. The Purchasing Assistant may perform administrative support, arranging appointments, answering calls and inquiries, reaching out to vendors and suppliers, and producing reports. This coordination helps to ensure the smooth flow of products within the company.
Position: Remote (MI preferred state)
Duties and Responsibilities
- Monitor and maintain orthotic & prosthetic inventory levels.
- Track orders, investigate issues, record purchases, and maintain a database if needed.
- Maintain the upkeep of furniture, equipment, and office supplies.
- Accountable for creating purchase orders for all items purchased and ensuring they are delivered to accounts payable to ensure timely payments of bills and that no vendor early pay discounts are missed.
- Monitor received items to make sure items are correct, have the appropriate quantity and are put in their proper places or delivered.
- Ensure that all items that are returned, including incorrect and incomplete deliveries, damaged goods, and all improperly fitting devices are properly returned to the respective vendors and proper credit is received.
- Confirm that the company gets the best value for its dollar in its purchasing, including comparing vendors, negotiating competitive pricing and early pay discounts, as available.
- Responsible for identifying cost-saving opportunities and process improvements.
- May involve shipping and receiving.
- Performs other duties and special projects as assigned.
Qualifications
- Knowledge of purchasing principles and processes which meet the needs of the organization.
- Experience providing excellent customer service to internal and external customers.
- Skilled in time management as far as handling multiple tasks, prioritizing and changing priorities.
- Thorough knowledge of office records development, maintenance, and control.
- Proficient computer skills and knowledge of Microsoft Office Suite and databases.
- Ability to communicate clearly, both orally and in writing and to work effectively with a wide range of people, including vendors, suppliers, maintenance workers, co-workers, and management.
- Experienced in identifying, analyzing, and resolving problems.
- High school diploma or Associates degree preferable. Study emphasis on business or health courses.
- Prefer previous experience in purchasing and materials management or equivalent.
