Purchasing Assistant Aromas

Department: Purchasing, Aromas

Location: Itasca, IL

Type: Full-Time

Summary: The Purchasing Assistant will support the purchasing/product management department. This position will interact with all aspects of the business. This position will require a high level of organization and excellent communication skills with both internal and external customers as well as suppliers. This position should lead to a Jr. Product Manager position.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Initiates sourcing requests in a timely manner in support of the purchasing and sales teams.
  • Tracks incoming samples and requests all necessary paperwork for new material and/or supplier approval.
  • Coordinates with customer service to help confirm orders in a timely manner, as well as help in resolving any customer problems.
  • Facilitates regulatory approval of new products
  • Develops and maintains positive relationships with suppliers, customers and colleagues.
  • Verifies classifications and specifications of purchase requests.
  • Issues purchase orders to supplier and responsible for follow up to ensure on-time delivery meeting any production or distribution needs.
  • Determines shipping method for inbound and direct shipments.
  • Verifies invoices from suppliers with bids and purchase orders. Approves invoices for payment as needed. Ensures that direct shipments are billed promptly.
  • Continually develops into a commercial buying role where-in price and term negotiations on small/medium transactions are handled by the purchasing agent
  • Researches the complete product line, including different manufacturer options.
  • Runs system reports to verify/validate appropriate inventory levels, including sales and spend data for review.
  • Consults catalogs and interviews suppliers to obtain prices and specifications.
  • Creates invitation of bid forms and emails forms to suppliers as needed.
  • Compiles records of items purchased or transferred between departments, prices, deliveries, and inventories.
  • Compares prices, specifications, and delivery dates and awards contract to bidders or places orders with suppliers or mail order firms.
  • Assists with special projects, i.e. aged inventory, contract fulfillment.
  • Maintains spreadsheets and report lists
  • All Prinova employees are required to ensure compliance standards with food safety, food defense and food quality. (FDA, ILDPH, FSMA and BRC).
  • Performs other duties as deemed necessary by Supervisor.


Qualifications:

  • Bachelor degree in Business, Supply Chain Management, Marketing OR equivalent work experience
  • Excellent interpersonal, written and verbal communication skills
  • Excellent organizational skills
  • Energetic and enthusiastic personality required.
  • Must be team oriented, detail oriented and able to work in a fast-paced environment.
  • Ability to multi-task and prioritize duties to meet deadlines

Supervisory Responsibilities:

This job has no supervisory responsibilities.

Computer Skills

  • Proficiency in Microsoft Office (Word, Excel, and Powerpoint)
  • Familiarity with ERP (JDE), Salesforce.com or inventory management systems is preferred
