Purchasing Assistant Aromas

Summary: The Purchasing Assistant will support the purchasing/product management department. This position will interact with all aspects of the business. This position will require a high level of organization and excellent communication skills with both internal and external customers as well as suppliers. This position should lead to a Jr. Product Manager position.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Initiates sourcing requests in a timely manner in support of the purchasing and sales teams.
- Tracks incoming samples and requests all necessary paperwork for new material and/or supplier approval.
- Coordinates with customer service to help confirm orders in a timely manner, as well as help in resolving any customer problems.
- Facilitates regulatory approval of new products
- Develops and maintains positive relationships with suppliers, customers and colleagues.
- Verifies classifications and specifications of purchase requests.
- Issues purchase orders to supplier and responsible for follow up to ensure on-time delivery meeting any production or distribution needs.
- Determines shipping method for inbound and direct shipments.
- Verifies invoices from suppliers with bids and purchase orders. Approves invoices for payment as needed. Ensures that direct shipments are billed promptly.
- Continually develops into a commercial buying role where-in price and term negotiations on small/medium transactions are handled by the purchasing agent
- Researches the complete product line, including different manufacturer options.
- Runs system reports to verify/validate appropriate inventory levels, including sales and spend data for review.
- Consults catalogs and interviews suppliers to obtain prices and specifications.
- Creates invitation of bid forms and emails forms to suppliers as needed.
- Compiles records of items purchased or transferred between departments, prices, deliveries, and inventories.
- Compares prices, specifications, and delivery dates and awards contract to bidders or places orders with suppliers or mail order firms.
- Assists with special projects, i.e. aged inventory, contract fulfillment.
- Maintains spreadsheets and report lists
- All Prinova employees are required to ensure compliance standards with food safety, food defense and food quality. (FDA, ILDPH, FSMA and BRC).
- Performs other duties as deemed necessary by Supervisor.
Qualifications:
- Bachelor degree in Business, Supply Chain Management, Marketing OR equivalent work experience
- Excellent interpersonal, written and verbal communication skills
- Excellent organizational skills
- Energetic and enthusiastic personality required.
- Must be team oriented, detail oriented and able to work in a fast-paced environment.
- Ability to multi-task and prioritize duties to meet deadlines

Computer Skills
- Proficiency in Microsoft Office (Word, Excel, and Powerpoint)
