Job summary

Neal Communities is seeking a Purchasing Agent to support budgeting, cost control, and supplier partnerships for multiple home communities in Sarasota and Manatee counties. The role includes handling rebates, procurement documentation, and coordinating with trade partners to ensure timely job starts and closings.

Ideal candidates will have a Bachelor’s degree and at least 3 years of purchasing experience within home building or construction, along with strong negotiation and analytical abilities.

Qualifications

  • Bachelor's degree in Business Administration, Supply Chain Management, or a related field preferred.
  • A minimum of 3 years purchasing experience in home building or construction.
  • Solid understanding of purchasing best practices and negotiation skills.

Responsibilities

  • Budgeting and cost control—maintain budgets and monthly cost reports.
  • Rebate collection—identify and track rebate programs with vendors.
  • Sourcing and onboarding trade partners; negotiate pricing and ensure onboarding completeness.
  • Manage construction documentation, scopes of work, bid sheets, and SOPs.
  • Oversee job start and closing activities to ensure timely processing.

The Purchasing Agent plays a critical role in supporting daily operations and driving purchasing departmental results. This position is responsible for budgeting, cost and variance control, system maintenance, rebate collections, hiring and facilitation of trade partners, construction documentation, and supporting job start and closing activities. This role focuses on departmental initiatives while supporting organizational goals.

What You'll Do

Budgeting and Cost Control

  • Analyze and audit budgets to ensure plans and communities are consistent.
  • Maintain, add, and edit accurate base budgets, and run, distribute, and monitor monthly Job Close and Cost of Product Reports.
  • Prepare and issue weekly and monthly Variance Purchase Orders and specialty reports for Lumber, Siding, and Trim, ensuring accuracy and completeness.
  • Facilitate prices and quantities in purchasing software as required.
  • Administer accurate quantity take-offs and estimates.
  • Stay up to date on procurement regulations and best practices, implementing improvements when necessary

Rebate Collections

  • Identify and negotiate rebate programs with manufacturers and vendors.
  • Ensure accurate tracking and timely collection of existing rebate programs for quarterly closings.

Sourcing and Facilitation of Trade Partners

  • Source, evaluate, and establish relationships with industry manufacturers and trade partners.
  • Negotiation of pricing and programs with new and existing manufacturers and trade partners.
  • Ensure accurate and complete onboarding of new trade partners.
  • Monitor inventory, identify any shortages or excesses, and propose appropriate actions.
  • Conduct market research to stay informed about industry trends, products, and pricing.
  • Evaluate supplier performance and address any issues or concerns related to quality, delivery, or pricing.
  • Facilitate trade partner performance feedback and general needs with operations team.

Construction Documentation

  • Collaborate with Purchasing Managers in creating and maintaining Scopes of Work, Bid Sheets, and Community Specifications.
  • Track and facilitate Product Approval Lists, resolving any issues or delays.
  • Define and document departmental and organizational processes and SOPs

  • Ensure timely and accurate processing of all job starts and related activities.

What You Bring
  • Bachelor's degree in Business Administration, Supply Chain Management, or a related field is preferred.
  • A minimum of 3 years of purchasing experience in the home building industry, single and multifamily construction.
  • Solid understanding of purchasing best practices.
  • Strong negotiation skills with the ability to drive favorable agreements.
  • Excellent analytical and problem-solving abilities.
  • Exceptional attention to detail and accuracy.
  • Excellent communication and interpersonal skills with the ability to work collaboratively in a team environment.
  • Proficient in using purchasing software, Newstar, and BuildPro experience is preferred.
  • MS Office Suite with solid knowledge of MS Excel.
  • Valid driver's license and willingness to travel frequently to local community sites and events.
Physical Requirements
  • General sedentary work requiring the use of office equipment such as computers, copiers, printers, scanners and telephones
  • Position requires occasional site visits for scope & specification verification, as well as trade partner meetings.
  • Position requires sitting, standing, walking, bending, stooping, grasping, writing, typing, repetitive motions, hearing ability, visual acuity, and climbing stairs on occasion
  • May occasionally lift and/or move up to 25 pounds
