Job summary

Hera Technologies is seeking a detail-oriented Purchasing Administrator to support procurement across advanced manufacturing operations. The role includes sourcing, purchasing, and managing suppliers for aerospace-grade materials in a fast-paced environment.

Qualifications

  • 2+ years of purchasing, procurement, or related experience in manufacturing.
  • Experience with ERP/MRP systems and ERP data entry.

Responsibilities

  • Create, process, and maintain purchase orders within the ERP system.
  • Review requisitions for completeness and accuracy.
  • Monitor open POs and follow up with suppliers on lead times and delivery.
  • Coordinate with Purchasing, Production Planning, Inventory, Quality, Receiving.
  • Maintain supplier records, pricing, certifications, and procurement documentation.
  • Assist buyers with RFQs and vendor communications.
  • Track supplier confirmations and expedite critical orders.
  • Maintain procurement files and ensure AS9100 compliance.
  • Support supplier onboarding and maintain approved vendor data.
  • Resolve discrepancies involving PO, invoices, receipts, or supplier docs.
  • Generate purchasing reports and assist with KPI tracking.
  • Assist with inventory replenishment activities.
  • Perform other administrative and purchasing duties as needed.

Role Overview

Hera Technologies is seeking a highly motivated and detail-oriented Purchasing Administrator to support procurement activities across our advanced manufacturing operations. This role will be responsible for sourcing, purchasing, and managing suppliers for aerospace-grade materials, components, and services in a fast-paced, high-growth environment.

In addition to procurement responsibilities, this role will provide administrative support by serving as a professional first point of contact for the company. Responsibilities will include answering and directing incoming calls, greeting and assisting customers, visitors, and vendors, and ensuring a welcoming and professional front office experience. The individual in this role will represent Hera with professionalism, strong communication skills, and a customer-focused mindset while balancing purchasing priorities with administrative support needs.

The ideal candidate thrives in ambiguity, operates with a high level of autonomy, and has experience working within aerospace, defense, or other highly regulated manufacturing industries. The successful candidate will demonstrate strong organizational skills, attention to detail, and the ability to prioritize multiple responsibilities in support of business operations.

  • Create, process, and maintain purchase orders within the ERP system.

  • Coordinate with Purchasing, Production Planning, Inventory, Quality, and Receiving to ensure timely material availability.
  • Maintain supplier records, pricing, certifications, and procurement documentation.
  • Assist buyers with RFQs, quote comparisons, and vendor communications.
  • Track supplier confirmations, shipping updates, and expedite critical orders when necessary.
  • Maintain accurate procurement files and ensure documentation complies with AS9100 and company quality requirements.
  • Support supplier onboarding and maintain approved vendor information.
  • Resolve discrepancies involving purchase orders, invoices, receipts, or supplier documentation.
  • Generate purchasing reports and assist with KPI tracking, including supplier on-time delivery and purchase order status.
  • Assist with inventory replenishment activities as assigned.
  • Perform other administrative and purchasing support duties as needed.
  • High school diploma or GED required.
  • Associate degree in Business, Supply Chain, or related field preferred.
  • 2+ years of purchasing, procurement, supply chain, or administrative experience in a manufacturing environment.
  • Experience working with ERP/MRP systems (Epicor experience preferred).
  • Strong proficiency in Microsoft Office, particularly Excel.
  • Excellent organizational skills with exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive supplier information professionally.
  • Aerospace or defense manufacturing experience.
  • Working knowledge of AS9100 quality systems.
  • Familiarity with procurement processes, supplier management, and inventory control.
  • Experience supporting buyers or purchasing teams.
  • Understanding of production scheduling and material planning concepts.
  • Ability to communicate effectively in verbal and written English.
  • Ability to work in office, lab, and manufacturing environments with occasional exposure to noise, chemicals, dust, industrial equipment, and temperature variations
  • Ability to sitor standforextended periods while working at a computer workstation
  • Frequent use of hands and fingers for data entry, keyboarding, and mouse use
  • Ability to view computer screens for prolonged periods
  • Ability to communicate effectively in person, by phone, and via email
  • Abilityto use a computer to complete assignments

Type: Contract of ~6 months, Full-time

Hourly Pay Range: $20 to $24

Business Hours: Mon – Fri (8 to 5), days and times may vary based on business need

Base Location: Ontario, CA (100% Onsite)

Your actual level and base salary will be determined on a case-by-case basis and may vary based on the following considerations: job-related knowledge and skills, education, and experience.

Total compensation will also include a comprehensive set of benefits including but not limited to: Company paid employee medical, dental and vision insurance. 401K company match (eligibility required), paid sick leave, paid vacation, paid holidays and discretionary bonuses.
