Responsibilities

  • Maintain department files, logs, correspondence, equipment and project records in accordance with City procedures.
  • Prepare letters, notices, forms, reports, meeting materials, and routine departmental communications.
  • Help coordinate calendars, meetings, inspections, contractor visits, and field crew schedules as directed by the Superintendent.
  • Process purchase requests, invoices, receipts, and vendor paperwork; reconcile supporting documentation before forwarding items for approval or payment.

Position Summary

The Public Works Administrative Assistant supports the day-to-day operations of the Public Works Department. This position serves as a point of contact for residents, vendors, and City staff; keeps work and purchasing records organized; and helps the Superintendent coordinate requests and schedules.

Essential Duties and Responsibilities
  • Answer calls, emails, and in-person inquiries; document concerns and direct requests to the appropriate Public Works staff.
  • Enter, track, and update work orders and service requests, including follow-up on status and completion.
  • Maintain department files, logs, correspondence, equipment and project records in accordance with City procedures.
  • Prepare letters, notices, forms, reports, meeting materials, and routine departmental communications.
  • Help coordinate calendars, meetings, inspections, contractor visits, and field crew schedules as directed by the Superintendent.
  • Process purchase requests, invoices, receipts, and vendor paperwork; reconcile supporting documentation before forwarding items for approval or payment.
  • Collect and organize timesheets, leave requests, and other personnel paperwork for timely submission through City procedures.
  • Communicate with other City departments and assist with updates to residents regarding the status of Public Works requests.
  • Support storm response and other urgent department communications when needed; perform related duties as assigned.
  • Assist with City Festivals and special events
  • Cross train and assist with other administrative duties.
  • Any other duties as assigned
Qualifications
  • High school diploma or equivalent; administrative or municipal government experience preferred.
  • Strong customer service, written communication, organization, and accurate data-entry skills.
  • Ability to use email, word processing, spreadsheets, and electronic record or work-order systems.
  • Ability to manage competing requests, meet deadlines, maintain confidentiality, and work cooperatively with staff and the public.
  • Familiarity with public works services, purchasing, and recordkeeping is helpful; training may be provided.
