Summary:

This position provides responsible secretarial support to the Zoning Board of Appeals, ensuring compliance with statutory deadlines. Responsibilities include customer service, assisting applicants, guiding them through appeals, maintaining departmental information, preparing for hearings, and performing clerical functions. The employee works under the general supervision of the Building Commissioner, using initiative for routine tasks and consulting supervisors for new or unusual assignments.

Essential Duties and Responsibilities:
  • Monitor compliance with statutory deadlines
  • Review applications for completeness and accuracy; check deeds and abutters lists; route applications; create legal records; enter data into the database
  • Schedule hearings, prepare agendas, post and distribute in accordance with law
  • Review petitioner paperwork, prepare legal notices, advertise, notify abutters, send acknowledgments
  • Prepare meeting packets, coordinate quorum, record and submit fees, prepare minutes and decisions, file legal documents, maintain records
Qualifications:

Knowledge of:

  • State laws, city ordinances, rules, regulations
  • Office procedures

Skills in:

  • Organization, communication, computer applications

Ability to:

  • Work independently, ensure compliance, interact effectively, exercise judgment, handle confidential information
Physical Demands:

Must be able to sit, use hands, reach, talk, hear, and lift up to 10 pounds. Vision abilities include the ability to adjust focus.

Work Environment:

The environment is typically quiet, with routine practices and procedures. Contact involves the public, other departments, attorneys, engineers, architects, and media, through in-person, phone, written, and email communication.
