SMG System Medical Group is seeking a Provider Operations Specialist to manage operations, contracts, and workforce data for employed and contracted providers. The role partners with clinical leadership, IT, finance, legal, HR, and operations to implement initiatives and ensure regulatory compliance.

Qualifications include a Bachelor's degree in healthcare administration or related field and 2+ years in healthcare operations or project management, with proficiency in MS Office.

  • Support provider contract management activities including contract requests, amendments, renewals, and terminations.
  • Maintain provider workforce records including Epic SER maintenance and Workday provider or contingent worker records.

Job description

The Provider Operations Specialist supports operational, contractual, and workforce management functions related to employed and contracted providers within the medical group. This role coordinates provider contract processes, supports project planning and operational initiatives, maintains workforce and provider system data, and collaborates with clinical leadership, IT, finance, legal, HR, and operational teams to ensure successful implementation of initiatives and compliance with regulatory and organizational standards.

MINIMUM QUALIFICATIONS** :**

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

  1. Bachelor's degree in Healthcare Administration, Business Administration, or related field.

  2. Equivalent combination of education and experience may be considered.

  3. Proficiency with Microsoft Office applications including Excel, Word, and PowerPoint.

EXPERIENCE:

  1. Two (2) years of experience in healthcare operations, project management, provider services, or medical group administration.

  2. Experience coordinating projects, operational initiatives, or provider-related processes in a healthcare environment.

  3. Experience collaborating with cross-functional teams including clinical operations, IT, HR, finance, and administration.

PREFERRED QUALIFICATIONS** :**

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

  1. Master's degree in Healthcare Administration, Business Administration, or related discipline.

  2. Project management training or certification.

  3. Experience with Epic, Workday, QGenda, or similar healthcare enterprise systems.

EXPERIENCE:

  1. Experience supporting provider contract management or compensation models.

  2. Experience supporting system-wide operational or clinical initiatives.

  3. Experience in physician enterprise or hospital-based operations.

Support data collection, cleaning, preprocessing, and exploratory analysis to prepare datasets for modeling and reporting.

  1. Assist leadership in achieving operational and financial objectives while supporting quality and service initiatives.

  2. Participate in project planning activities including review of project proposals to determine goals, timelines, funding, staffing needs, and resource allocation.

  3. Develop and maintain project scope documentation, project schedules, and project work plans for assigned initiatives.

  4. Monitor project progress and communicate status updates, risks, and challenges to leadership and stakeholders.

  5. Manage project documentation including timelines, scope definitions, cost estimates, and reporting.

  6. Coordinate with clinical teams, IT, vendors, and operational leadership to ensure successful project execution.

  7. Identify project risks or operational issues and escalation appropriately while facilitating mitigation strategies.

  8. Support change management processes including documentation and communication of change control outcomes.

  9. Coordinate internal and external project resources including consultants, vendors, and operational staff.

  10. Assist in maintaining acceptable levels of project staffing and support oversight of contracted vendors when appropriate.

  11. Schedule project meetings, events, and team activities to support leadership expectations and project timelines.

  12. Facilitate cross-functional meetings and project status reviews with stakeholders.

  13. Provide regular project status reporting including updates on timelines, scope, resources, and deliverables.

  14. Maintain catalog and tracking of active projects, improvement initiatives, and associated documentation.

  15. Support provider contract management activities including contract requests, amendments, renewals, and terminations.

  16. Ensure provider compensation structures and operational terms are documented accurately.

  17. Maintain provider workforce records including Epic SER maintenance and Workday provider or contingent worker records.

  18. Collaborate with HR, payroll, finance, and operational teams to ensure accurate workforce and compensation setup.

  19. Support regulatory compliance initiatives, quality improvement efforts, and operational process improvements.

  20. Participate in committees, departmental initiatives, and special projects as assigned.
