Job Overview

Coordinates the transition of all relevant provider credentials, licenses, degrees, privileges, and certifications upon signing of a new provider. Operational ownership of the centralized credentialing process includes interfacing with new providers (Physicians & APPs), gathering paperwork from CVO or other institutional governance bodies, and coordinating all relevant documents, authorizations, and credentials for submission processes. This role partners and works closely with department leadership, system-wide leaders, and other facilities including Departmental Leaders, Recruitment, Onboarding, Medical Staff Affairs, Hospital Medical Directors, Community Office Managers, HPN, and various State Board entities.

Minimum Qualifications
  • Associates Degree OR High School Diploma or Equivalent AND 2 years of healthcare or administrative experience.
Preferred Qualifications
  • One year of experience with privileging/credentialing.
  • One year of experience in a healthcare setting.
Core Duties and Responsibilities

The following are general responsibilities; other duties may be assigned:

  1. Facilitates credentialing for incoming doctors and APPs, including applying for licensure, creating agreements, coordinating with outside facilities, and acting as liaison with medical staff affairs.
  2. Supports APPs by setting up practice agreements, managing meetings, scheduling, and assisting with clerical tasks.
  3. Coordinates reappointment packets, building reports from multiple data sources.
  4. Tracks licenses, certifications, and training; ensures provider compliance and maintains records.
  5. Manages provider evaluations (FPPE and OPPE), including documentation and distribution.
  6. Coordinates with HPN for payor enrollment.
  7. Monitors state board websites for changes and communicates with leadership.
  8. Maintains CME records and updates transcripts.
  9. Ensures compliance with accreditation and regulatory standards, manages appointment and reappointment processes.
  10. Maintains an organized online database of credentialing statistics and key information.
  11. Implements and maintains data relevant to medical staff profiles and quality indicators.
  12. Processes insurance provider enrollment requests.
  13. Updates staff profiles and reports changes to WVUHS Insurance Provider Enrollment.
  14. Presents credentialing status reports and alerts leadership to delays.
  15. Assists with project work as needed.
  16. Establishes and maintains engagement with new faculty from offer to recredentialing.
Physical Requirements
  • Prolonged sitting, ability to lift 15-20 lbs, extended computer and phone use.
Working Environment
  • Normal office environment, potential travel.
Skills and Abilities
  • Basic computer skills, strong communication, confidentiality, organizational skills, typing at least 35 wpm preferred.
