Job summary

AECOM is seeking a Proposal Specialist II to support the Program Management marketing team on RFQ/RFP responses, including coordinating proposals and coordinating with subconsultants and graphics teams. This hybrid role can be based in Arlington, VA; Annapolis Junction, MD; or Philadelphia, PA.

Responsibilities include leading proposal strategy, developing outlines and schedules, and ensuring compliance and quality across marketing materials.

Qualifications

• Bachelor's degree or equivalent experience in marketing/proposals within AEC
• 2+ years collaborating with a marketing team to lead/support proposal activity
• Proficient with Word, Excel and PowerPoint; able to edit and format with desktop publishing tools
• Ability to craft accurate, compliant, and compelling proposal content
• Strong written and verbal communication skills; meticulous editing and QA abilities
• Experience coordinating with graphics teams and subconsultants to assemble proposals and marketing materials

Job Description

AECOM is seeking a Proposal Specialist II to support our Program Management marketing team on pursuits, including partnering in the preparation of formal and informal responses to client solicitations, including expressions of interest (EOI), requests for qualifications (RFQ), requests for proposals (RFP), and pre-qualification efforts.

This will be a hybrid position including a combination of both remote and in-office work schedules, that can be based in, but not limited to: Arlington, VA; Annapolis Junction, MD; Philadelphia, PA.

Job Responsibilities will include, but not be limited to:

• Responsible for managing responses to requests for qualifications (RFQ) and requests for proposals (RFP), across multiple disciplines within Program Management.
• Leads and/or participates in proposal strategy development and planning with capture teams and helps develop and apply the win plan, themes, and discriminators throughout marketing materials.
• Develop proposal outlines and schedule and manage them for compliance.
• Run proposal project team/proposal review meetings and manage proposal and presentation revisions based on direction from review teams.
• Proactively gather materials from project team and write, edit, and coordinate proposal content, maintaining compliance with client requirements.
• Coordinate graphics, including organization charts, maps, flow charts, and matrices, with graphics team.
• Coordinate with subconsultant companies to request and collect marketing materials for proposal submissions.
• Proactively conduct quality assurance/quality control on proposal/marketing materials through strong grammatical skills and attention to consistency and detail.
• Perform final layout in InDesign and produce hard copies if required.

Qualifications

• Bachelor's degree+ 2years of experience collaborating within a marketing team to lead and support proposal / marketing activity within the AEC industry or a demonstrated equivalency of experience and/or education.
• Proficient in word processing programs (e.g., Microsoft Word), spreadsheet management (Excel), and presentation software (e.g., PowerPoint), as well as desktop publishing software (e.g., Adobe Creative Suite), graphics programs (e.g., InDesign, Adobe Illustrator, Adobe Acrobat, Photoshop).
• Developed knowledge of marketing best practices and procedures, work processes, and tools.
• A working knowledge of collaborative tools such as Microsoft Teams, SharePoint, etc.
• Ability to produce accurate, compliant, and compelling work independently and with others.
• Proven organizational and administrative skills, including the ability to complete varied work tasks on schedule, and lead deliverable efforts by others; and the proven ability to manage documents.
• Excellent verbal and written communication skills; ability to write and edit proposal materials
• Ability to exercise discretion with confidential/ sensitive issues.

Preferred Qualifications

• Bachelor's degree in Journalism, English, Communications, Marketing or a related field.
• 3-4 years of proposal experience.
• Diplomacy with peers and internal clients in handling challenging situations
• Takes initiative and formulates creative ideas in proposals, presentations, and other marketing related areas
• An understanding of CRM and/or Salesforce experience is a plus.
• A professional demeanor and excellent interpersonal skills
