Job description

Position Summary

The Proposal Coordinator will assist in the planning and development of bids, proposals, and response documents. They may manage individual bids under the oversight of the Proposal Manager. The individual will coordinate and schedule proposal team meetings, create and manage response templates, handle required forms, and format and produce final proposals.

Responsibilities

  1. Create: Using existing templates, create and manage proposal documents including Word documents, Excel spreadsheets, and PowerPoint presentations. Manage the table of contents, list of figures, list of tables, and other administrative aspects of the proposal.
  2. Support: Provide support for all proposal artifacts and documents as directed by the Proposal Manager, including templates, storyboards, resumes, writer’s worksheets, outlines, and assignment lists. Assist the Proposal Manager with other tasks as needed.
  3. Quality Assurance: Review proposal artifacts for formatting, grammar, spelling, figure and table numbering, and overall look and feel.
  4. Design: Coordinate with Graphics Designer to manage proposal graphics, facilitate meetings between Graphics Designer and subject matter experts, and perform quality control of graphics.
  5. Assist: Help the Proposal Manager set up, organize, and facilitate proposal team meetings and calls.
  6. Analysis: Determine proposal production requirements, create and manage production checklists, and lead the final production of proposal deliverables.

Requirements

  1. Education: Bachelor's degree in Communications, English, Marketing, Business Management, or related field, along with at least 3 years of relevant experience, or equivalent work experience.
  2. Experience: Minimum of 3 years of proposal coordination experience in government or commercial environments, with a proven attention to detail and quality focus.
  3. Proficiency: Advanced skills in standard software applications such as Microsoft Word, Excel, PowerPoint, Project, Visio, SharePoint, Adobe Acrobat, etc.
