Job summary

KE|AD Building Consultants is seeking a highly organized Proposal Administrator / Estimator to support our Washington and Hawaii offices. This role serves as the primary contact for new client inquiries, proposal development, estimating, project setup, and coordination.

The ideal candidate works well with people and processes, can juggle multiple priorities, and understands construction or consulting environments.

Qualifications

  • Strong written and verbal communication skills.

  • Working knowledge of construction processes and estimating.
  • Ability to work independently and manage multiple priorities.

Responsibilities

  • Respond to and track new client inquiries.
  • Serve as the first point of contact for prospective clients.
  • Coordinate opportunities with Technical Managers.
  • Support business development and client follow-up efforts.
  • Monitor project workload, schedules, and staffing capacity.
  • Prepare preliminary fee estimates, budgets, and scopes of work.
  • Draft proposals for review by technical staff.
  • Distribute proposals, manage follow-ups, and track project opportunities.
  • Coordinate project startup activities following contract execution.

Our team of architects, engineers, construction administrators, and technical specialists provides consulting services across a variety of industries, including legal, insurance, multifamily housing, building envelope, plumbing, HVAC, and construction administration.

Our work combines forensic investigation, condition assessment, code compliance, repair consulting, and Mechanical-Electrical-Plumbing (MEP) design. KE|AD's primary focus is building investigation, evaluation, and repair, with selective design services that align with our expertise and resources.

About the Role

We are seeking a highly organized and proactive Proposal Administrator / Estimator to support our Washington and Hawaii offices. This position serves as the primary point of contact for new client inquiries, proposal development, estimating, project setup, and project coordination.

Key Responsibilities
Client & Business Support
  • Respond to and track new client inquiries.
  • Serve as the first point of contact for prospective clients.
  • Coordinate opportunities with Technical Managers.
  • Support business development and client follow-up efforts.
  • Monitor project workload, schedules, and staffing capacity.
  • Prepare preliminary fee estimates, budgets, and scopes of work.
  • Draft proposals for review by technical staff.
  • Distribute proposals, manage follow-ups, and track project opportunities.
  • Coordinate project startup activities following contract execution.
Project Administration
  • Create project numbers and enter client, contract, budget, and schedule information.
  • Maintain accurate project data within the company management system.
  • Organize project files and contract documentation.
  • Support document control and information sharing across teams.
Project Coordination
  • Lead weekly project status meetings for both offices.
  • Track project schedules, budgets, and action items.
  • Provide management with project status updates and meeting summaries.
Qualifications
Minimum
  • High School Diploma or GED.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Word and Excel.
  • Experience interacting professionally with customers and clients.
  • Working knowledge of construction processes and estimating.
  • Ability to work independently and manage multiple priorities.
Preferred
  • 2+ years of estimating, contracts, or project administration experience in construction, engineering, or consulting.
  • Associate's or Bachelor's degree in Construction, Engineering, Architecture, or a related field.
  • Experience with project management or scheduling.
  • Experience with business management software (BQE preferred).
  • Advanced Microsoft Word and Excel skills.
  • Working knowledge of Microsoft Project.
  • PMP certification is a plus.
