Job description

Income Properties of Raleigh, Inc. is a privately owned commercial real estate management company managing office and retail properties throughout North Carolina.

We are seeking an organized, proactive, and detail-oriented Property Operations Specialist to oversee the coordination of maintenance activities across our portfolio. This is not a hands-on maintenance technician position. Instead, this role serves as the central point of communication between tenants, vendors, property managers, and ownership to ensure maintenance requests are handled efficiently, professionally, and thoroughly documented.

As a small company, every employee contributes beyond a single job description. We value teamwork, initiative, flexibility, and a willingness to help wherever needed to serve our clients and tenants.

  • Coordinate commercial property maintenance requests from initial reporting through completion, including prioritizing requests, dispatching vendors, and monitoring follow-up and resolution.
  • Create and maintain work orders and accurate electronic documentation, including notes, photographs, proposals, invoices, and supporting records.
  • Communicate maintenance status, scheduling, and follow-up with tenants, vendors, property managers, and ownership.
  • Obtain vendor proposals, coordinate bidding, assist with vendor onboarding, and verify required insurance and documentation.
  • Schedule inspections, preventative maintenance, and recurring services, while identifying recurring issues and opportunities for operational improvement.
  • Coordinate emergency and after-hours maintenance when necessary and conduct property visits to inspect repairs, meet vendors, or evaluate maintenance issues.
  • Support property managers with property-related projects, operational initiatives, and other duties as needed.
Preferred Skills & Abilities
  • Experience in property management, facilities, maintenance coordination, vendor management, construction, service dispatching, or a related field is preferred but not required.
  • Strong computer skills and comfort learning new technology; proficiency with Microsoft Office applications and experience with property management software are a plus.
  • Strong organization and communication skills, with the ability to manage multiple priorities and maintain clear, accurate, and timely documentation.
  • Ability to take ownership of responsibilities, follow issues through completion, work independently, and ask questions or seek guidance when needed.
Requirements
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Valid driver's license and reliable transportation.
  • Ability and willingness to travel to properties throughout North Carolina.
  • Ability to walk commercial properties, climb stairs, access mechanical rooms, and other building areas when necessary.
What Success Looks Like

A successful Property Operations Specialist keeps maintenance operations moving through organization, communication, and follow-through. Maintenance requests are documented, vendors are managed effectively, tenants receive timely updates, and property managers always have accurate information regarding the status of work.

This position is ideal for someone who enjoys solving problems, staying organized, communicating with people, and ensuring that nothing falls through the cracks.
