Responsibilities

The Property Manager is responsible for the overall management of a multifamily apartment community. Responsibilities include marketing, budgeting, financial management, oversight of the physical plant, and supervision of staff. The Property Manager will communicate regularly with all necessary Milhaus employees, lenders, property owners, financial partners, fee clients, and other individuals as deemed necessary to fulfill the responsibilities of the position. The Property Manager will ensure that the property meets or exceeds its financial performance targets and ownership objectives, which include:

  • Maximizing revenues
  • Monitoring and controlling expenses
  • Maintaining appropriate staffing levels
  • Properly training employees
  • Focusing on resident satisfaction
  • Maintaining the property to high standards for asset preservation and enhancement
  • Ensuring regulatory compliance and legal adherence
Key Job Duties And Responsibilities
Financial Performance
  • Prepare and submit annual property budget by September 30.
  • Monitor property budget to meet or exceed budgeted NOI.
  • Implement systems to maximize revenue and control expenses.
  • Review financial performance and prepare monthly variance reports.
  • Participate in financial and ownership reporting.
  • Ensure timely collection and deposit of rents and fees.
  • Initiate collection and legal actions for receivables.
  • Manage purchasing within approved limits and budget.
  • Oversee bid process for contracts, looking for efficiencies.
  • Process reimbursements from Reserve for Replacement promptly.
  • Collaborate with other Property Managers to share best practices.
  • Identify and implement additional income sources.
  • Manage fee pass-throughs and utility payments to maximize NOI.
Marketing/Leasing
  • Develop and update annual marketing plan quarterly.
  • Review market info and rental surveys monthly.
  • Adjust rent levels and concessions based on market conditions.
  • Implement resident retention strategies and lease renewal programs.
  • Approve rental applications and ensure lease compliance.
  • Inspect vacant units for readiness and maintain inventory of market-ready units.
Asset Preservation
  • Conduct regular inspections.
  • Supervise maintenance functions, scheduling, and procurement.
  • Follow up on service requests with residents.
  • Oversee capital improvement projects.
  • Complete move-in and move-out inspections timely.
  • Ensure preventive maintenance is performed.
  • Report and minimize liability risks.
Personnel Management
  • Recruit, hire, train, coach, develop, and discipline staff.
  • Manage compensation within budget.
  • Conduct quarterly performance reviews.
  • Ensure staff compliance with policies and laws.
  • Set and monitor performance goals.
  • Administer incentive programs.
  • Hold regular staff meetings.
Administrative Tasks
  • Complete reports accurately and timely.
  • Maintain proper records.
  • Supervise data entry and incident reporting.
  • Handle eviction and bad debt collections.
  • Ensure legal compliance.
  • Perform other duties as assigned.
Requirements
  • At least two years of property management experience of 200+ units with proven financial results.
  • High school diploma required; college degree preferred.
  • Valid driver’s license and reliable transportation.
  • CAM designation a plus.
  • Experience in budgeting, revenue, and expense management.
  • Successful personnel management experience.
  • Excellent communication, organizational, and interpersonal skills.
  • Proficient in Microsoft Office; Entrata software experience preferred.
  • Ability to travel overnight quarterly.
  • Ability to lift up to twenty pounds.
