SummaryThis position is responsible for the property management functions for the daily operation of a portfolio of commercial properties. Supervises, coordinates and provides administration of all common area, building, tenant and property contracted services.

  • Effectively communicate both verbally and in written form with tenants, vendors, contractors and property owners
  • Responsible for maintaining good relations with tenants and vendors - answering phone calls to trouble-shoot all property and tenant issues, and coordinate appropriate resolutions
  • Perform occasional property inspections for assigned portfolio
  • Interface with property owners with regard to special projects, operational issues and owner requests
  • Follow through with property inspection recommendations of maintenance items and coordinate with vendors on the completion of those maintenance items
  • Responsible for assisting in the preparation of the annual budget and property maintenance plan for the assigned property portfolio and then executing on that plan
  • Review of monthly end-of-month reporting to property owners, including updating property narratives
  • Perform all necessary processes & procedures to facilitate tenant “move-in” and “move-out” activity, including scheduling and attending tenant walk-through events
  • Provide direction to the Property Management Coordinator regarding new tenant move-in/move-out activity, routine maintenance contracts for vendors, service contracts for contractors on tenant improvements or large maintenance projects and purchase order preparation
  • Approve and code maintenance invoices
  • Coordinate tenant improvements with tenant, Leasing Team, Construction Manager and contractor
  • On an as-needed basis, perform reviews of tenant lease language to determine responsibility of tenant-requested maintenance items
  • Coordinate project & maintenance bidding, review proposals from vendors and compare and make recommendations to property owners for project approval – may occasionally require coordination with Construction Managers on more complex projects
  • Negotiate, administer and evaluate service contracts for the following property components: janitorial, security, landscaping, sweeping, power-washing, window washing, trash removal, recycling, pest control, sign maintenance, snow removal, general painting, plumbing and general maintenance
  • Monitor vendor performance and invoices to ensure compliance with contracts and cost alignment with property operating budgets
  • Schedule and attend property inspections for banks, lenders, insurance companies and other professional firms contracted by the property owners
  • Available on a rotating basis with the other Property Managers to respond to property and tenant emergency calls on evenings and weekends through the use of a personal cell phone
  • Other responsibilities & duties as may be assigned

Education and/or Experience Requirements

  • High school diploma or equivalent required.Associates or Bachelor’s degree is a plus.Minimum of five (5) years Commercial Property Manager experience required.

Language Skills

  • Must be fluent in speaking and writing the English language.

Work Hours In a typical week, this position requires +/- 37.5 hours with some travel requirements.
