Job Title

Property Administrator (CRE)

Job Description Summary

Performs the administrative functions of the Property Management Team, assuring a high level of professionalism in property issues, including timely response to and resolution of tenant requests or concerns.

Essential Functions and Responsibilities

May be responsible for one or more of the following:

  1. Provide full administrative support, including phone support, typing reports, filing, and correspondence distribution.
  2. Schedule and coordinate meetings and special events.
  3. Assist in lease administration activities, including tenant contacts and insurance information; generate reports.
  4. Prepare and coordinate bid proposals, service contracts, and invoices. Assist in bidding processes and ensure compliance with company policies.
  5. Prepare and code invoices for approval.
  6. Maintain office supplies and equipment.
  7. Ensure accurate completion of contract and insurance certificate information in management software.
  8. Track and file contracts and insurance certificates; monitor expiration dates.
  9. Manage property maintenance work orders and prepare monthly reports.
  10. Maintain purchase order system.
  11. Organize lease and contract files and other documents.
  12. Foster positive relationships with tenants and clients, tracking service calls as needed.
  13. Assist with management reports and annual budget preparation.
  14. Process staff hours, tenant invoices, expense reports, meter readings, and check requests.

Education and Experience
  • High school diploma/GED required; Bachelor’s degree preferred.
  • Customer service experience is a plus.

Work Environment

This role operates in a professional office setting, using standard office equipment such as computers, phones, photocopiers, and fax machines.

Physical Demands

Must be able to stand, walk, ascend/descend stairs, travel outdoors, and remain stationary for extended periods while operating office machinery.
