Job summary

Ramboll in Americas is seeking a detail-oriented Project Coordinator to support municipal water and wastewater infrastructure construction projects. You will liaise across office and field teams, manage documentation, prepare client-facing materials, and ensure timely communication with regulators and stakeholders.

The role involves coordinating schedules, tracking milestones, and supporting continuous improvement of project support procedures within a collaborative, open culture at Ramboll.

Qualifications

  • High school diploma or higher (education requirements stated)
  • 3–5 years of experience in project support, coordination, construction administration, document control, or similar role
  • Experience supporting infrastructure, municipal water/wastewater, civil construction, engineering, or consulting projects
  • Proficiency in Microsoft Office Suite and project/document management systems
  • Working knowledge of construction project management systems, workflows, approvals, tracking, and reporting support
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities with independence
  • Strong written and verbal communication with project teams, clients, and regulators

Responsibilities

  • Provide day-to-day project coordination and administrative support for active municipal water/wastewater infrastructure construction projects across multiple workstreams
  • Assist teams with tracking schedules, milestones, deliverables, risks, action items, and documentation
  • Maintain project documentation including logs, correspondence, meeting minutes, and closeout records
  • Prepare, format, and distribute reports, dashboards, and client-facing materials
  • Coordinate meetings with internal teams, clients, contractors, regulatory agencies, and stakeholders
  • Monitor project inboxes and workflows to ensure timely responses and escalation of urgent matters
  • Upload and route documentation using Trimble Unity Construct, Unifier, Autodesk Construction Cloud, and Procore
  • Support communications related to construction activities and service disruptions
  • Track contractor submissions, field updates, and change documentation for project controls
  • Review project files for completeness, escalate gaps as needed
  • Coordinate between office and field to ensure accurate information flow
  • Contribute to procedural improvements in project support and filing systems

Job description

Key Responsibilities:


  • Provide day-to-day project coordination and administrative support for active municipal water/wastewater infrastructure construction projects, including support across multiple project workstreams

  • Assist project teams with tracking schedules, milestones, deliverables, risks, action items, and documentation requirements

  • Maintain project documentation, including correspondence, meeting minutes, submittal logs, RFI logs, change tracking logs, contractor documentation, and closeout records

  • Prepare, format, and distribute reports, dashboards, status updates, meeting materials, presentations, and client-facing documentation

  • Coordinate meetings with internal teams, clients, contractors, regulatory agencies, and stakeholders, including scheduling, agenda preparation, documenting key decisions, and following up on action items

  • Monitor project inboxes, communications, and workflow systems to support timely responses, accurate documentation, and appropriate escalation of urgent or sensitive matters

  • Use construction project management and document control platforms such as Trimble Unity Construct (e-Builder), Unifier, Autodesk Construction Cloud, and Procore to upload, track, organize, and route project documentation and workflows

  • Support communication efforts related to construction activities, service disruptions, public notices, and stakeholder inquiries

  • Track contractor submissions, field updates, change documentation, compliance-related records, and closeout materials to support project controls and records management

  • Review project files, logs, and records for completeness, consistency, and accuracy, and elevate gaps or issues as needed

  • Coordinate between office and field teams to ensure construction-phase information is communicated accurately and consistently

  • Support continuous improvement of project support procedures, document workflows, filing systems, and reporting practices

  • High school diploma required

  • 3-5 years of experience in project support, project coordination, construction administration, document control, or a similar support role

  • Experience supporting infrastructure, municipal water/wastewater, civil construction, engineering, or consulting projects

  • Working knowledge of construction-phase documentation such as RFIs, submittals, meeting minutes, changing documentation, project logs, and closeout records

  • Proficiency in Microsoft Office Suite and project tracking or document management systems

  • Working knowledge of construction project management systems, including document workflows, approvals, tracking, and reporting support

  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities and deadlines with a good degree of independence

  • Strong written and verbal communication skills and the ability to work effectively with project teams, contractors, clients, regulatory representatives, and stakeholders


Additional skills, certifications, and qualities that will help you succeed in this role include:


  • Associate or bachelor's degree in engineering, business administration, project management, communications, engineering support, or a related field

  • Project Management Professional (PMP)

  • Multilingual skills

  • Ability to identify process gaps and recommend practical improvements

  • Experience providing informal guidance or support to junior staff
