Job summary

  • Highly organized with the capacity to manage multiple projects concurrently.
  • Ability to travel up to 20% and work afternoons/evenings/weekends to support learning sessions.

Purpose

The position will coordinate planning and implementation of outreach activities and projects including communication with trainers and participants, registration, and event organization.

Responsibilities
  • Coordinate and Host Events

Materials and Logistics Management
  • Prepare and ship materials for local, state, regional, and national conferences.
  • Mail materials for virtual and remote workshops to participants and facilitators.
Documentation and Payments
  • Coordinate submission of documentation for generating agreements and payments.
  • Track progress and completion of agreements, purchase orders, and payments.
Communication
  • Liaise with participants, facilitators, vendors, and internal personnel related to events, workshops, and initiatives.
Data Management and Reporting
  • Manage and enter event and participant data in the registration/database system.
  • Track participant attendance and materials.
  • Run reports summarizing program impact, Continuing Professional Development hours earned, and details of schools, districts, and teachers served.
Required Qualifications
  • Minimum of a high school diploma plus two years of experience working in an office or customer facing role
  • Experience with in-person and online workshop and event coordination and support for K-12 educators
  • Experience with information needed to create and process requests for agreements, purchase orders, and payments based on UT Austin procedures and requirements
  • Proficiency in working with Asana, Google collaboration tools, and Microsoft Office and ability to quickly learn how to use other communication and productivity tools.
  • Highly organized with the capacity to work on multiple projects concurrently
  • Capacity to manage a project with responsibilities shared across internal and external team members
  • Capability to work effectively when under pressure and with tight timelines; flexibility and ability to continuously improve methods and procedures
  • Ability and willingness to travel up to 20% time (All travel costs are covered by The University of Texas at Austin)
  • Ability and willingness to shift work schedule to support or manage professional learning in afternoons, evenings, and weekends to accommodate teacher participants
  • Proficient and comfortable with exploring new technology
  • Strong communication skills
  • Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
  • Familiarity with PK-12 computer science education programs and projects in Texas and nationally
  • Knowledge in tracking and data collection relevant to workshops, events, and statewide initiatives
Salary Range

$52,000+ depending on qualifications

Employment Eligibility

Retirement Plan Eligibility

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
