Job description

Job Overview:

APTIM's Energy Transition is seeking an experienced Project Specialist. This role involves processing eligibility and project applications for the HOMES and HEAR programs, which are part of the Home Energy Rebates created through the Inflation Reduction Act, including the Home Efficiency Rebate Program (HOMES) and the Home Electrification and Appliance Rebate Program (HEAR). The Project Specialist will ensure the accuracy of applications submitted by customers and Trade Allies, interacting with them to complete incomplete applications. Residential program knowledge and some technical expertise in energy efficiency and electrification are preferred. This position reports to the Operations Manager.

APTIM's Energy Transition team is a leader in delivering innovative projects and complex solutions in energy management, carbon management, smart infrastructure, distributed energy resources (DER), and carbon-free mobility. We collaborate with clients to define strategies and implement high-impact projects tailored to their needs.

The Project Specialist provides customer service and administrative support, maintaining accurate project information, workflow, and communication with stakeholders. Responsibilities include managing customer incentive reviews, processing, and coordinating project tasks with internal teams. We serve as the Program Administrator, distributing benefits and promoting equitable participation in these programs. You will work with others passionate about clean energy and positive industry impact.

Key Responsibilities/Accountabilities:

  1. Collaborate with the energy efficiency team to ensure successful project administration, implementation, and verification.
  2. Review project application forms for compliance with policies and procedures.
  3. Maintain and update system databases accurately.
  4. Assist with project reporting, scheduling, and related issues.
  5. Engage with customers and contractors via email and calls, updating program databases.
  6. Build relationships with program partners to address their needs and inform program managers.
  7. Conduct QA/QC of processes, offering improvements and recommendations.
  8. Train new Project Coordinators as needed.
  9. Report and track program performance and metrics.
  10. Follow escalation processes and resolve issues.
  11. Promote a collaborative work environment.
  12. Perform other duties as assigned.
  13. Ensure compliance with quality, safety policies, and OSHA regulations.

Basic Qualifications:

  • Bachelor's degree or equivalent work experience.
  • 2-4 years' experience in program/project management related to energy programs.
  • Effective communication and client engagement skills.
  • Experience with Microsoft Office, CRM, and tracking systems.
  • Strong analytical, report writing, and problem-solving skills.
  • Excellent written and oral communication.
  • Critical thinking and ability to analyze situations.
  • Self-starter, organized, able to manage multiple priorities.
  • Detail-oriented with good time management.
  • Willingness to learn new technologies.
  • Experience developing relationships with stakeholders.
  • Proficiency in Microsoft Office Suite.

Preferred Qualifications:

  • 1+ years' experience in energy efficiency or electrification industries.
  • Four years' office experience.
  • Experience working with diverse stakeholders, including government entities, utilities, and organizations.
  • Ability to speak additional languages is a plus.

As of this posting, the estimated pay range is $60K-$70K, depending on experience and other factors.
