Primary duties include co-creating, tracking, and managing operating procedures for grantmaking, contracting, and invoicing; analyzing the effectiveness of processes; providing recommendations to improve the efficiency and quality of standard operating procedures; supporting teams with project management tools and resources to meet their goals; and supporting teams to successfully use O365 applications including SharePoint, Microsoft Teams, Microsoft Lists, and/or Power Automate.

Work Schedule:Monday – Friday | 40 hours weekly, 8a.m to 5p.m.
The work associated with this position will be performed through a combination of teleworking complemented with onsite work and meetings as needed. Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours.
King County has a robust collection of tools and resources to support working remotely. The individual selected for this opportunity will be joining an innovative and progressive team that is redefining how we work as we transition to the department's hybrid environment.
- Work collaboratively and facilitate meetings with CDIP program managers and the admin/finance team to identify and implement opportunities for process improvement.
- Understand internal administrative and operational processes for grantmaking, contracting, and invoicing; work with stakeholders to co-create recommendations and implement changes that will improve quality and promote efficiency.
- Draft and maintain standard operating procedures that adhere to King County policies and procedures for CDIP contracting and invoicing while ensuring staff feedback is integrated.
- Clearly communicate and monitor team progress, coordinate tasks among team members, as well as support team member and stakeholder engagement during projects.
- Develop work plans, timelines, schedules, and reports to ensure that programs can successfully meet their goals and objectives.
- Support teams to effectively use various O365 applications including SharePoint, Microsoft Teams, Microsoft Lists, and/or Power Automate by working closely with staff to identify business needs, help set up and organize sites, as well as develop trainings and tutorials.
- Prepare agendas, meeting notes, and related information to support a variety of projects such as: monthly CDIP all-staff meetings, equity & social justice priority projects, SharePoint migration projects, employee giving campaigns, new hire onboarding presentations, and more.
- Assist in data collection and analysis for assigned projects; prepare summary reports of analysis.
- Draft, proofread, and finalize documents, including letters, memos, and reports.
- Perform other duties as assigned.
- Minimum three years of experience in project management/planning or process improvement OR any combination of education and experience that clearly demonstrates the ability to perform the job duties of the position.
- Demonstrated ability to successfully manage complex projects with diverse project teams and effectively communicate across multiple audiences.
- Advanced demonstrated ability in gathering, analyzing, and presenting information using Microsoft Excel and other Office 365 tools.
- Proficiency using and supporting teams to effectively utilize SharePoint and Microsoft Teams.
- Ability to manage and prioritize multiple shifting priorities; ability to work under deadlines while being flexible to changing needs.
- Excellent oral and written communication skills including an ability to write clearly and concisely.
Desired Qualifications:- Work experience in project management, including maintaining quality control and internal/external communications.
- Demonstrated knowledge of grants and contract management including compliance, monitoring, and reporting.
- Facilitation and presentation skills.
- Knowledge or experience with continuous improvement and development of standard work.
- Knowledge or experience with how to use and set up SharePoint, Microsoft Teams, and Power Automate to support team workflows and goals.
