Job summary

Premier PV is seeking a Project Planning Coordinator to serve as the main liaison between the client’s project management team and our organization. You will help identify leads, assist estimators with pricing, and ensure booked orders are executed efficiently.

The role involves coordinating production and shipment schedules with the PPV operations team to meet customer requirements. Ideal candidates have an Associate/Technical Degree with 2–5 years in project planning, strong communication

Qualifications

• Associate/Technical Degree in a related field with 2–5 years’ project planning experience.
• Strong communication skills (oral, written, presentation) are essential.
• Exposure to construction regulations and rules is preferred.
• Ability to develop work plans and project schedules.
• Proficient in Microsoft Office Suite; travel up to 25% may be required.
• Maintain confidentiality on sensitive topics.

Responsibilities

• Interpret contract documents to ensure proposals stay within contract scope.
• Facilitate prompt communication between engineers and the customer on changes.
• Coordinate hand-off meetings with operations to plan resources.
• Ensure manufacturing reviews and understands the contract.
• Follow up with departments to ensure processes are performed correctly.
• Support procurement with material requirements and timelines for competitive proposals.
• Schedule post-project closeout meetings to review lessons learned.
• Lead regular client meetings to provide shipment updates and address challenges.
• Set client value direction with the PPV team and monitor LOI and PO receipts.
• Provide oversight to ensure projects meet customer specifications.

Job Overview

The Project Planning Coordinator is the primary liaison with the client’s project management team and the organization. The Project Planning Coordinator also identifies potential leads and assists estimators with development of pricing proposals and ensures the execution of booked orders. This person will work with operations to plan production and shipment schedules that align with the customer requirements and the capabilities of the PPV operations team.

PRIMARY JOB RESPONSIBILITIES

• Interpret contract documents to ensure that the proposal is within the scope of the contract.
• Facilitate prompt communication between engineers and the customer on contract changes.
• Facilitate the “hand off” meeting with the operating team to ensure adequate time to plan resources (labor, equipment, vendors, subcontractors).
• Ensure the manufacturing team reviews and understands the contract.
• Follow up with departments to ensure corporate and project processes are being performed correctly.
• Engage with the procurement group to support them by providing details regarding material requirements and timelines to allow procurement to seek competitive proposals.
• Schedule the closeout meeting after projects to discussed lessons learned, non-conformance, and highlights from project execution.
• Facilitate regular client meetings during the project to proactively provide shipment updates and review challenges.
• Determine client expectations and sets direction of client value drivers with internal PPV team.
• Monitor the receipt of letter of intent and subsequent purchase orders prior to adding solid production plans to the schedule.
• Provide oversight to ensure that the project is being performed to the customer specifications.

EDUCATION & EXPERIENCE REQUIREMENTS

Associate/Technical Degree 2-5 years’ experience in project planning

PREFERRED SKILLS/ABILITIES

• Effective communication (oral, written, presentation) skills.
• Exposure to construction regulations and rules.
• Adaptive, problem‑solving orientation.
• Experience developing work plans and project schedules.
• Proficient in Microsoft Suite Up to 25% travel required.
• Maintains confidentiality on sensitive topics.
