This is a local position. Although this is a local role, we offer a hybrid schedule. This role requires you to be in the Peoria, IL office Tuesday, Wednesday, Thursday with the option to work from home Monday and Friday.

Job Description

As a Project Planner, my objective is: Manage marketing campaign projects and resource allocation between departments from start to finish, facilitate scoping conversations with clients to create estimates and project schedules, manage client budgets, and uphold marketing processes related to financial and workflow management.

The outcomes I need to produce for clients are:

  • Manage all aspects of workflow efficiency to ensure marketing campaigns are completed on time
  • Provide financial management on assigned accounts, including creation of project estimates and statements of work, and ongoing management of billing actions and budgets

The outcomes I need to produce for the agency are:

  • Support regular communication around estimating and budgets, implement adjustments to project quotes for clients and internal resources to keep projects within budget
  • Resolve workflow or budgeting issues impacting the bottom line, engaging with internal teams and clients as needed
  • Organize effective start-up and scoping workshops, acting as a key facilitator for team alignment
  • Manage tasks, timelines, and deliverables for multiple projects simultaneously, focusing on dependencies, deadlines, and future planning
  • Proactively support balanced workloads by collaborating within the department and running traffic meetings or resource discussions

To produce these outcomes, I need to:

  • Set and understand full estimates and scopes for each project
  • Effectively kick-off projects with completed budgets, scopes, schedules, and resource allocations
  • Maintain detailed documentation and organized files
  • Communicate clearly and effectively within the team
  • Own the quality and efficiency of each project to meet deadlines
  • Manage the overall financial health of projects, including estimating, budgeting, and invoicing
  • Facilitate effective meetings

The skills and abilities I require are:

  • 4-year college or university degree or equivalent experience in marketing or business
  • Previous agency experience in project management is a plus
  • Experience in fast-paced, campaign-driven environments or three years of relevant experience is a plus
  • Attention to detail and ability to manage multi-faceted projects
  • Ability to build relationships and communicate honestly to move projects forward
  • Strong facilitation skills to probe key project details
  • Organization, documentation, and file management skills
  • Ability to multi-task and prioritize projects for multiple clients

Decision-making authority includes:

  • Timing of material approvals
  • Budget concerns and when to escalate
  • Daily schedules and timelines
  • Prioritization of work for resources

  • Building effective relationships

  • Asking questions and being assertive
  • Managing multiple projects and clients
  • Understanding project statuses and deadlines

  • Leading project scoping and estimating initiatives

  • Mentoring new Project Planners
