The Project Manager will lead projects from inception to execution, ensure on-time, on-budget delivery, and support client engagements while aligning with agency processes and culture.

Qualifications

  • 2+ years of project management experience, preferably in pharmaceutical advertising or medical communications.
  • Expertise in managing project budgets, timelines, and resources.
  • Demonstrates the ability to successfully onboard and train others in the Associate Level.
  • Excellent verbal and written communication skills.
  • Excellent organizational and time management skills.
  • Ability to think on your feet and resolve issues quickly with little to no direction from supervisors; makes good judgments and renders solid decisions.
  • Adaptability and ability to manage multiple priorities.

Responsibilities

  • Partner with Account to apply experience across program mix, technologies, and promotional channels to deliver innovative solutions.
  • Create and manage program-level project plans, define requirements and success metrics, and develop staff plans.
  • Create risk mitigation plans with scenarios and solutions for projects.
  • Collaborate with department leads to evolve agency service delivery processes.
  • Manage execution of work on assigned projects, ensuring SOPs, quality control, and timely delivery.
  • Track work status and resource needs, and communicate updates to stakeholders.
  • Mitigate risks and address executional barriers with input from the Account and teams.
  • Identify changes in scope and alert Account for client follow-up when needed.
  • Resolve executional issues in partnership with Account and client.
  • Participate in client status meetings and support problem-solving executional challenges.
  • Define team processes and communications plans with Account leads.
  • Develop and maintain project documentation (scopes, plans, blueprints, definitions) and ensure staff assignments.
  • Estimate project hours and costs and provide rationale.
  • Monitor finances and manage scope changes with Account.
  • Provide information and POVs to fiscal account management.

Project Manager
Position Overview

The Project Manageris responsible forinternally leading project(s) frominceptionto execution. This includes planning, execution and managing thepeopleresources and scope of the project(s). Ensuring functional team alignment so that activities and deliverables formedium sizecomplexity projects/accounts are executed on time, on budget, at the highest possible level of quality. In addition, the Project Manager supports client engagements andconformtoagencyprocess.

The Project Manager is an important member of the team(s), working closely with the account and functional department project leads to meet and exceed performance targets, foster a positive work environment, and serves as a model of professionalism and a reflection of the agency’s personality and culture.

Responsibilities
Planning:
  • Partners with Account to apply experience across program mix, technologies, and promotional channels to deliver innovative solutions,leveragingagency capabilities that address client needs
  • Creates and manages project workplans at the program level, partnering with Account to define project requirements and success metrics and Resource Management to developappropriate staffplans
  • Creates risk mitigation plan (when needed) withpossible scenariosand solutions for projects based on executional experience as well as specific areas of project uncertainty
  • Collaborates with functional department project leads to evolve agency service delivery process and toolset
Execution of Work
  • Manages execution of work on assigned projects, holding all team members accountable to the delivery of their assigned work,maintainingprojects SOPs, and adhering to quality control practices
  • Manages and documents work status/hotsheetsensuring that team is tracking appropriately to the workplan
  • Proactively tracks resource needs across projects and alerts resource manager of unfulfilled gaps or capacity
  • Actively mitigates risk byanticipatingpotential executional barriers,identifyingquality, budget, and timeline impacts, and developingpossible solutionswithappropriate inputand collaboration
  • Identifiesand documents internal changes in scope or workplan and alerts Account if client follow-up is needed
  • Resolves executional issues in partnership with account, ensuringappropriate teamcommunication and escalation as warranted
Client Interface
  • Participates in client status/execution meetings as needed to support communication/understanding of executional tasks and processes
  • Partners with Account to help problem-solve executional challenges
Agency Interface and Process
  • Works with Account lead to define team processes, communicationsplanand rules of engagement, and manages team adherence
  • Develops and deploys consistent project documentation including scopes of work, project plans, solution blueprints, project definition plans, contact/status/reports/hotsheets
  • Collaborates with department leads to develop, document, anddisseminateclear workflow plans and staff assignments to support execution of work
  • Employes agencymethodologyfor estimating project hours, fee, and costs and provides solid rationale
  • Partners with Account torepresentagency financialobjectiveswhen communication and negotiating budgets and amendments
  • Monitors staffing and expenditures across team to ensure actualsremainin line with estimates, client guidelines, and agency financial performance goals
  • Maintainstimelyandappropriate communicationof financial status across assigned projects to Account and supervisor based on agency SOPs
  • Collaborates with Account to manage scope changes and financial reconciliations
  • Supports fiscal account management with Account leads by providing information and POVs

Salary range

$65,000 - $100,000

BGB Group is headquartered in New York City, and the salary range listed reflects the expected base compensation for this role in the New York City metropolitan area. This position may be performed remotely within the United States. For candidates located outside the New York City area, compensation will be adjusted to reflect the applicable market for the employee’s primary work location. Final compensation will be determined based on geographic location, experience, qualifications, and other job-related factors.
