Job Description
The Project Manager position is responsible for achieving the sales volume assigned by the company, meeting or exceeding divisional objectives. This role involves estimating projects received from intakes or personal solicitation, selling projects, and working closely with the Business Development Coordinator. The Project Manager acts as the leader of the team, essentially serving as the CEO of this business unit. They utilize team resources to ensure all projects are completed on time, within budget, and to customer satisfaction.
Essential Duties & Responsibilities:
- Sales and Marketing Responsibilities:
- Undertake daily marketing activities to promote the company and maintain a steady flow of new work.
- Provide the Business Development Coordinator with contacts, clients, and leads for future marketing efforts, including meeting adjusters, delivering estimates and final billings, and attending industry events.
- Project Estimating and Sales:
- Provide timely estimates for all new jobs according to specified guidelines (e.g., 24 hours for jobs under $15,000).
- Complete final invoices within 24 hours of project completion.
- Maintain all sales and production reports.
- Ensure all key dates and details are updated in the Solitaire database.
- Production Management Responsibilities:
- Review and approve project schedules and budgets.
- Provide rough budgets to the project superintendent.
- Review job costing weekly and visit job sites as needed.
- Hold daily meetings with the superintendent and coordinator to review job status.
- Ensure timely project completion and customer communication.
- Review purchase orders and time cards for accuracy and budget compliance.
- Assist with pricing change orders and process open items and supplements promptly.
- Conduct weekly team meetings to review ongoing and upcoming jobs and ensure progress payments are made on time.
- Fulfill Production Manager responsibilities on select projects.
- Understand procedures and documentation requirements for insurance and government agencies.
- Respond to after-hours emergencies as needed.
- Prepare estimates from plans and specifications, and secure signed contracts before starting work.
- Review final project files before billing.
- Maintain professional communication with customers, agencies, and employees, updating the Solitaire system daily.
Post Production Responsibilities:- Contact customers post-project to ensure satisfaction.
- Ensure invoices are processed promptly and collect outstanding payments.
- Review project profitability and conduct debriefings to improve future performance.
Supervisory Responsibilities:- Lead and motivate division personnel, including office staff.
- Handle disciplinary actions and foster cooperative relationships.
- Approve hiring and firing decisions and conduct performance appraisals.
- Ensure compliance with labor and safety laws.
- Accountable for team performance, efficiency, and effectiveness.
Qualifications:- High ethical standards.
- Strong organizational skills for managing multiple priorities.
- Proficiency in Windows, MS Office, Outlook, Xactimate, Diamond, and Solitaire.
- Strong problem-solving skills and ability to propose innovative sales practices.
Physical Demands:- Lift over 50 pounds.
- Bend, reach, climb ladders/scaffolding, and walk on stairs with equipment.
- Complete respiratory exams if needed.
- Correctable vision to 20/40.
Requirements:- Valid CA Driver's License.
