This position manages project schedules, budgets, procurement, subcontractors, field coordination, client communication, commissioning, billing, and financial performance. The Project Manager II works closely with Operations, Engineering, Sales, Purchasing, Service, and field leadership to keep assigned projects organized, properly staffed, and moving toward successful completion.
The role serves as the primary point of contact for assigned projects and escalates significant contractual, financial, technical, or scheduling risks to senior leadership when needed.
Essential Responsibilities
Project Management & Execution
- Manage multiple AV, security, and integrated technology projects from award through final closeout.
- Develop and maintain project schedules, budgets, procurement plans, staffing needs, and risk logs.
- Lead internal kickoff meetings, client progress meetings, and routine project status updates.
- Review project scope, estimates, contracts, drawings, and specifications to confirm requirements and identify gaps.
- Coordinate the transition of assigned projects from Sales and Engineering into Operations.
- Confirm materials, drawings, site access, subcontractors, permits, and other prerequisites are in place before field work begins.
- Track project progress, document issues, and implement recovery actions with support from senior leadership as appropriate.
- Coordinate commissioning, customer acceptance, closeout documentation, final billing, and warranty turnover.
Field & Resource Coordination
- Coordinate field schedules and labor needs for assigned projects through the established resource‑planning process.
- Communicate project requirements, qualifications, certifications, site conditions, and schedule priorities to Operations and field leadership.
- Identify staffing gaps, schedule conflicts, overtime exposure, and subcontracting needs early and elevate them appropriately.
- Coordinate manpower support between offices or branches when approved by Operations leadership.
- Monitor field progress, labor utilization, and productivity against the project plan.
- Communicate schedule changes and resource limitations to affected customers and internal stakeholders.
Client & Stakeholder Management
- Serve as the primary point of contact for assigned clients, contractors, consultants, vendors, subcontractors, and end users.
- Manage customer expectations while ensuring contractual requirements, project scope, and company processes are followed.
- Address routine project issues and elevate significant contractual, technical, financial, or customer concerns.
- Communicate project challenges clearly and develop practical action plans with the project team.
- Support opportunities for additional work, system expansions, and Service agreements by coordinating with Sales and Service.
Financial & Contract Management
- Maintain accountability for the budget, forecast, billing, cash flow, and profitability of assigned projects.
- Review labor, material, committed costs, procurement, subcontractor expenses, and cost reports regularly.
- Maintain accurate cost‑to‑complete forecasts and communicate financial risks promptly.
- Prepare, price, document, and track change orders and other project modifications.
- Coordinate subcontractor scopes, purchase orders, invoices, lien waivers, and closeout requirements.
- Support revenue forecasting and backlog reporting by providing accurate project projections.
Service, Quality & Technical Coordination
- Coordinate with Service when technician support is needed for project, warranty, or customer‑related work.
- Ensure completed projects are properly transitioned to Service with system information, programming files, as‑builts, customer contacts, and warranty documentation.
- Coordinate appropriate Engineering, programming, commissioning, and manufacturer resources for technical issues.
- Review designs, installation methods, testing plans, and turnover documentation for alignment with project requirements and applicable standards.
- Monitor installation quality, punch‑list completion, safety compliance, and corrective work.
- Participate in post‑project reviews and apply lessons learned to future assignments.
Reporting & Process Compliance
- Maintain accurate project records, schedules, meeting notes, change documentation, forecasts, and status reports.
- Follow company processes for project setup, purchasing, subcontractors, billing, closeout, and resource requests.
- Maintain visibility into upcoming labor, material, equipment, and access requirements for assigned projects.
- Track assigned‑project KPIs related to schedule, labor, profitability, rework, billing, and customer satisfaction.
- Promote compliance with OSHA requirements, company safety policies, customer rules, and applicable industry standards.
Required Qualifications
- Bachelor’s degree in Construction Management, Engineering, Business, Information Technology, or a related field, or equivalent experience.
- 5+ years of project management experience in commercial AV, Electronic Security, Low Voltage, construction, or technology integration.
- Demonstrated experience managing commercial projects generally ranging from $50,000 to $1.5 million, with the ability to support larger or more complex projects as assigned.
- Experience coordinating field labor, subcontractors, procurement, schedules, and competing project priorities.
- Working knowledge of commercial construction, contract administration, scheduling, billing, and project delivery.
- Strong financial, organizational, communication, negotiation, and problem‑solving skills.
- Ability to work independently, prioritize multiple assignments, and elevate risks appropriately.
- Proficiency with Microsoft Office and familiarity with scheduling, ERP, construction, and project management systems.
- Ability to travel to project sites and company offices as needed.
Preferred Qualifications
- Experience in healthcare, higher education, government, corporate, mission‑critical, or large commercial environments.
- Experience coordinating work across multiple offices, geographic markets, or subcontractor networks.
