Walbec Group is seeking a Construction Administrative Assistant to support Project Managers and Area Management on site in Kenosha, WI. You will help manage contracts, budgets, bids, and subcontractor activities while maintaining strong client communication and efficient office routines.

Responsibilities include analyzing job costs, preparing reports, and performing standard administrative duties to keep projects on track and within scope.

The Position:

Under the direction of the Associate Controller, the Construction Administrative Assistant is responsible for using a proactive approach to provide support to the Project Managers, Project Engineers and Area Management, ensuring projects are completed according to contract documents, plans, and within budget for Payne & Dolan. Areas of involvement include but are not limited to, assisting & supporting all aspects of project management, bid vs. actual financial management, customer relations & basic office management.

Analyze and interpret general business periodicals, professional journals, procedures, or governmental regulations.

Review advertisements in various periodicals.

Write reports and business correspondences.

Perform job set-ups, invoicing and finalizing jobs.

Calculate figures and amounts to analyze job cost and profitability.

Solve practical problems and deal with a variety of variables in situations where only limited standardization exists.

Interpret a variety of instructions furnished in written, oral, diagram, or schedule form

Assist in the preparation of bids.

Communicate with external clients on follow up items and collections.

Assist with subcontractor management.

General administrative duties.

Performs other related duties as required and assigned.

Requirements :

High school diploma or GED equivalent.

3 + years of work experience.

Microsoft Office experience with the ability to do data entry and navigate systems.

Must be highly organization and able to prioritize tasks effectively.

Able to multitask and work with a sense of urgency to meet deadlines.

Location: Kenosha, WI office working onsite

Preferred:

Accounting knowledge and understanding.

Office administration experience.
