Job summary

CHSGa in Illinois is seeking a seasoned PMO Project Manager to oversee complex, interrelated projects, monitor activities, and drive on-time delivery across the system. You will develop and maintain project plans, manage budgets and resources, train staff, and promote change management practices. PMP certification and healthcare experience are preferred.

Proficiency with Workday Projects, Smartsheets, and MS Office is expected. Some travel may be required.

Qualifications

  • Bachelor degree in Project Management, Business Administration, or related field.
  • 5–7 years of related project management experience.
  • PMP certification required or willing to obtain within the first two years.
  • Healthcare setting experience preferred but not required.

Responsibilities

  • Monitor PMO activities daily and support cross-system projects.
  • Review, coordinate, and communicate project status to sponsors and management.
  • Provide project management training and expert advice on changes.
  • Develop and maintain project plans, budgets, and schedules across the system.
  • Write and edit communication materials for PMO uses and meetings.

SUMMARY

Responsible for evaluating, scheduling, and managing complex interrelated projects; coordinating project delivery and communicating project status to management; developing, maintaining, and tracking project plans; updating and modifying various program documents; and managing business variables like budgets, schedules, risks, issues, and resources for major projects. Also responsible for developing best project management practices and tools, participating in and contributing to work-group meetings, developing project management training programs and providing expert advice on change management issues. Serves as the PMO liaison to the individual health and support services, associates and other departments across the System.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Responsible for monitoring PMO activities on a daily basis.
  • Supports PMO projects to include reviewing, consulting, communicating, coordinating and serving as a project manager for PMO project work taking place across the System.
  • Provides support and training as needed to project sponsors, managers, and team members using established PMO tools.
  • Collaborates with project sponsor, managers and team members to understand project objectives and needs throughout the project’s life cycle from kick off to project closure.
  • Plans, schedules, or coordinates project activities to meet deadlines.
  • Works cross functionally across the System to gather status reports/materials/data that can be used for project management content and communication purposes.
  • Manages, develops, writes, and edits content for project management communication purposes, i.e., invites, email, updates, agendas and meeting notes.
  • Contributes to, manages, and maintains Workday Projects, PMO reporting and the PMO folders on the shared drive which house the overall repository of resources, history, and the scope of the PMO’s full body of work.
  • Promotes and manages the change management process to meet business needs, partnering with project sponsors and project team members to anticipate the impact of changes in implementation projects.
  • Ensures accurate reporting of project costs, metrics and milestones as well as analyzes resource allocation and availability.
  • Translates project management principles into relatable, compelling tools to maximize project success and impact.
  • Actively participates in the review of standard project management practices and procedures and makes recommendations for improvements as appropriate.
  • Performs other duties as necessary to ensure the success of the System.

MINIMUM QUALIFICATIONS
  • Bachelor Degree in Project Management, Business Administration or related field
  • Five to Seven (5-7) years of related experience, Project Management experience preferred
  • PMP Certification, see Certificates, Licenses & Registrations below
  • Previous experience in healthcare setting preferred but not required

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or associates of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram format. The ability to deal with problems involving several concrete variables in standardized situations.

CERTIFICATES, LICENSES, REGISTRATIONS

Project Management Professional Certification is required or willingness to obtain from an approved source at organization’s expense within the first two years of accepting the position.
