Job summary

Omni Fiber in Port Clinton, Ohio is seeking a Project Coordinator to support the PMO and project teams by coordinating daily construction activities and maintaining accurate project reporting.

You will monitor permitting and engineering deliverables, ensure timely communication between internal teams, permitting groups, and vendors, and help manage project priorities in a fast-paced environment.

Job description

The Project Coordinator supports the Project Management Office (PMO) and project management teams by coordinating daily construction activities, maintaining accurate project reporting and tracking, monitoring permitting and engineering deliverables, and ensuring timely communication between internal teams, permitting groups, and construction vendors. This role requires strong organizational skills, attention to detail, follow-through, and the ability to manage multiple project-related priorities in a fast-paced environment.

Key Responsibilities
  • Maintain daily production reporting for each construction vendor, ensuring information is accurate, complete, and submitted in a timely manner.
  • Maintain the daily street sheet log, tracking construction activity, locations, work status, and other required project information.
  • Manage and maintain weekly project inputs, ensuring all required information is collected, reviewed, and entered into the appropriate PMO systems and trackers.
  • Monitor and identify the current status of: Permitting activities Engineering deliverables Statements of Work (SOW) issuances Construction readiness and related project milestones
  • Update PM trackers and project management systems as statuses change, ensuring project information remains current and accurate.
  • Participate in weekly project meetings and maintain detailed delayed notes/action items, documenting issues, decisions, outstanding items, and responsible parties.
  • Distribute weekly meeting notes and related files to the PMO team in a timely manner.
  • Assist project and permitting teams with identifying jurisdictional requirements related to permitting, construction, inspections, documentation, and other local requirements.
  • Coordinate communication with construction contractors regarding approved permits, including sending notifications and outlining any conditions, restrictions, or requirements that must be satisfied before work can begin.
  • Track permit-related requirements and help ensure construction vendors understand and comply with applicable permit conditions prior to starting work.
  • Provide the Permitting Team with as-built documentation for all permits requiring as-builts during the project closeout process.
  • Assist with project closeout activities, ensuring required documentation is collected, organized, and submitted.
  • Support communication and coordination between Project Managers, permitting teams, engineering teams, construction vendors, and other stakeholders.
  • Identify discrepancies, missing information, delays, or potential project risks and elevate them to the appropriate Project Manager or PMO team member.
  • Maintain organized project documentation, logs, trackers, and correspondence in accordance with established processes.
  • Perform other miscellaneous project coordination and administrative duties as assigned.
Required Skills and Qualifications

  • Excellent attention to detail and accuracy in maintaining project data and documentation.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office applications, particularly Excel, Outlook, Word, and Teams.

  • Ability to communicate professionally with construction contractors, internal teams, and external stakeholders.
  • Strong follow-up skills and the ability to identify outstanding items and drive them toward completion.
  • Ability to work independently while also collaborating effectively within a PMO/project team environment.
  • Construction, telecommunications, utility, infrastructure, engineering, or permitting experience is preferred.
Preferred Qualifications
  • Previous experience in project coordination, construction administration, PMO support, permitting, or a related field.
  • Familiarity with construction processes, permitting requirements, jurisdictional requirements, and project closeout documentation.
  • Experience maintaining project trackers, production reports, meeting minutes, or construction logs.
  • Experience working with construction contractors and/or permitting agencies.
