About the Role:

We are seeking a highly organized and detail-oriented Project Coordinator to join our Operations team. This role is the administrative backbone of our projects, ensuring timely financial reporting, efficient billing and collections, and seamless job cost management. If you thrive in a fast-paced environment and enjoy supporting multiple project teams, this is the perfect opportunity for you!

Key Responsibilities:

  • Maintain and update job management reports by project stage (Received, Scoped, Pending, Mold, WIP, Completed, Closed).
  • Act as liaison between field staff and management for project updates.
  • Schedule inspections, subcontractors, and adjuster visits.
  • Track documentation (scopes, estimates, contracts, COIs, permits).
  • Support billing readiness by ensuring all required field data and documentation is submitted.
  • Prepare internal job status dashboards for weekly review.
  • Communicate job delays or issues proactively.
  • Help ensure compliance with TPA or carrier guidelines when applicable.

Education & Experience Requirements:

  • Education: High School diploma or GED required.
  • Experience: Minimum 3-5 years of experience in the construction or restoration industry.
  • Knowledge of financial reports (Profit & Loss, Balance Sheet, Cash Flow) and budgeting is .

What You Need to Succeed:

  • Strong Communication: Ability to effectively communicate with project teams, customers, and stakeholders.
  • Organizational Skills: Excellent at managing multiple projects, deadlines, and priorities.
  • Financial Acumen: Understanding of financial tracking, job costing, and invoicing processes.
  • Tech-Savvy: Proficiency in MS Office (Word & Excel; Job management platforms (e.g., PSA, DASH, Restoration Manager); and Scheduling software (e.g., Google Calendar, MS Outlook, PSA Scheduler).
  • Problem-Solving Mindset: Ability to anticipate and remove barriers to project completion.
