Job summary

NV5 is seeking a Project Coordinator to support two Project Managers with onboarding tasks, purchase order management, and project setup. The role involves coordinating across multiple projects, managing documentation, and ensuring compliance while liaising with clients and internal teams.

The ideal candidate will have a related technical degree and project coordination experience in engineering, with a demonstrated ability to work under accelerated schedules and deliver accurate reporting.

Responsibilities

• Coordinate projects for engineers and inspectors, from setup through closure.
• Manage projects in client portals and NV5 portals.
• Audit field deliverables and ensure completeness with team members.
• Maintain high levels of communication with project teams and clients via emails and meetings.
• Collaborate across teams nationwide using PM tools for coordination.
• Attend internal and external project meetings as directed by the Project Manager.
• Ensure organization of folders and onboarding tasks in trackers and with accounting.
• Facilitate client meetings with support from NV5 Project Managers.
• Disseminate information to team members promptly.
• Track deliverables and update item status to stakeholders.

Education

Position Summary

As our Project Coordinator, you will be supporting two Project Managers responsible for managing the project onboarding tasks, purchase order management and project set up. You will support multiple projects simultaneously and provide support services in collaboration with the Project Managers by running weekly financial reports, document collection, updating final close out reports and assisting with Avetta safety compliance management. The right candidate has a long-term goal of managing own projects independently.

Responsibilities

• Coordinate projects for engineers and inspectors, starting at project set up until project closure. Manage projects in various client portals and internal NV5 portals.
• Keep track of documentation requirements and reports for Project Managers and Forensic Engineers
• Audit Field deliverables for projects which you are assigned, and follow-up with team members to ensure completeness of deliverables.
• Maintain a high level of communication with assigned project teams and externally to the client. This includes written (project emails, meeting minutes, proposals) and verbal (documentation of conference calls) communication.
• Consistently work in cooperation with numerous individuals and project teams both in person and across the country by leveraging technology and project management tools for communication and coordination.
• Attend meetings for projects you have been assigned (internal and external) per the direction of the Project Manager.
• Ensure organization of folders and completeness of new site onboarding tasks in trackers and with accounting.
• Capable of facilitating client meetings with support from NV5 Project Managers.
• Send Forensic Engineer dispatches for scheduled work per direction of the Project Manager.
• Regularly disseminate information to team members on a timely basis.
• Track deliverables and advise appropriate team members of item status.

Requirements

We are seeking the following experience & qualifications:
