Job Summary

The Construction Project Coordinator plays a pivotal role in ensuring the smooth execution of construction projects by assisting in planning, coordination, and execution. They work closely with project managers, contractors, subcontractors, and other stakeholders to ensure projects are completed on time, within budget, and according to specifications. Responsibilities include supporting project management from initiation to closing, monitoring compliance with schedule, budget, quality, safety, and client contracts, and assisting with work orders, change orders, materials, and transactions, including project invoicing.

Responsibilities

  • Receive, approve, and prepare projects, including entering work orders, change orders, and materials into the project management system.
  • Maintain and organize project documentation such as contracts, permits, and drawings.
  • Prepare and update project reports, progress tracking, and cost analysis.
  • Act as liaison between project stakeholders, including clients, contractors, and team members.
  • Schedule and facilitate project meetings.
  • Communicate project updates, changes, and issues.
  • Monitor construction activities for compliance with plans and specifications.
  • Assist in resolving construction-related problems.
  • Track project expenses and collaborate with finance on invoices and payments.
  • Identify potential delays and propose solutions.
  • Assist in obtaining permits and procurement of materials.
  • Develop and maintain project schedules.

Required Qualifications and Skills

  • An associate’s or bachelor’s degree is preferred but not required.
  • At least 1 year of administrative experience, preferably in a construction office.
  • Experience in project scheduling and rehab project lifecycle.
  • Knowledge of construction processes, codes, and regulations.
  • Familiarity with construction documentation and contracts.
  • Strong administrative skills with high attention to detail.
  • Good communication skills, both oral and written.
  • Proficient in MS Office and project management software.

Physical Demands

  • Ability to communicate effectively with clients and team members.
  • Regular use of phone and email.
  • Sitting for prolonged periods and working on a computer.

Work Environment
